Hi there,

Im interested in using quickbooks self-employed and I'm having trouble working out whether it can record actual costs for my expenses rather than simplified expenses.

I have a van that I use only for business therefore I wish to record all vehicle costs (fuel, maintenance, insurance etc.) and not track mileage for the vehicle expenses. is this possible?

Hi, RichieGray. I'm here to share details about how mileage tracking in QuickBooks Self-Employed.

The QuickBooks Self-Employed program calculates your mileage allowance using the Simplified Expenses and Actual Expenses method and the flat rate set by HMRC. You can check out this article to learn about the flat rates set by HMRC for each mile travelled on business: Approved mileage rates from the tax year 2011 to 2012 to the present date.

The program allows you to add and categorise your vehicle expenses (fuel, maintenance, insurance, etc.) using the Actual expenses method. However, it is recommended to take note of the mileage reading at the start of the accounting period when using this method. With that said, it's necessary to use the Mileage tracking function. For more details about the process, please read this article: Car mileage and travel expenses explained in QuickBooks Self-Employed.

Moreover, I would encourage you to consult with your accountant to guide you on the best way to track your actual cost. This ensures your financial data is accurate when you hand it over to HMRC.

Additionally, to learn more about calculating your allowable expenses and business expenses for vehicles, I would encourage you to check out these articles:

Please don't hesitate to keep me posted in the comments if you have other mileage questions or how the program works. I'm always ready to help.
