Hello, Brian.

Losing a client is a tough part, especially when you're with them for a long time. I'd like to share some details with you about cancelling their QuickBooks Online subscription.

We're unable to directly cancel your client's subscription from your QuickBooks Online Accountant list.

However, depending on how they were onboarded, we'll want to remove them from your wholesale discount plan, or just simply inactivate or permanently delete them.

If your client is part of your wholesale discount plan, we'll want to remove them from it. Then, let's inactivate or permanently delete them from the list of users.

Here are the steps:

  1. If you haven't done it yet, make your client the primary admin of their own company.
  2. Go to your QuickBooks Online Accountant practice, then go to the Gear icon, then select Billing and subscriptions.
  3. Go to Accountant-billed subscriptions tab.
  4. Select the client you want to remove.
  5. From the Select action drop-down menu, select Transfer billing to client.

This effectively transfers the billing to them. However, the QuickBooks Online company would be placed on a read-only version. They would need to enter their billing information if they still need to make some entries.

If they're not part of the wholesale discount plan, we can inactivate or delete them immediately:

  1. Go to the Clients menu.
  2. Find the client.
  3. Click the Edit client drop-down menu, then select Make inactive.
  4. If you want to permanently delete them, select Delete permanently instead. Make sure you've already assigned them as an admin before doing this.
  5. Hit Yes to confirm.

Inactivating or permanently deleting them won't cancel their subscription. If they need to, we can let them cancel it on their end.

We'll want to share this article with them if they need help: Cancel your QuickBooks Online subscription or trial

I'll also include a couple of articles if you need more help managing other clients:

After managing the subscription, would you like some assistance in reconciling other clients' books? I'll share this article with you: Reconcile an account in QuickBooks Online.

If you have more questions about managing other clients, let me know and I'll share some more information. If you encounter any difficulties while managing their entries or reports, feel free to add the details. I'm here to help.
