Question

I am doing some work for a fellow accountant, they can see the journals that I've done but not the green ticks or the notes I've made on workpapers?

I am referring to the green 'prepared' blobs and the yellow 'notes' blobs which appear on the left hand side of the account balances

Welcome to the Community space, dmba2024. I'm here to help you resolve visibility issues related to journal entries and notes in QuickBooks Online Accountant (QBOA).

The green Prepared indicators and yellow note icons in QBOA are usually visible to the accountant who created the Workpapers, as well as to other team members within the same firm. In cases where, co-accountants only see the journals you've produced but not the indicators or notes on the Workpapers, it indicates that they don't have accountant-level permissions or the appropriate user permissions for full access.

To rectify this, please ensure they have the appropriate firm roles and access permissions.

Here's how:

  1. Sign in to QBOA as an admin, or a user with full access permissions.
  2. Go to the Team menu.
  3. Find the team member and hit Edit in the Action column.
  4. In the Roles section, press the dropdown arrow to choose a pre-defined or a custom role.
  5. (Optional) In case of custom roles,
    1. To grant or deny more granular access to firm features, select an option, such as Sales, Expenses, Stock, or Payroll to expand access controls.
    2. Select or uncheck View, Create, Edit, and Delete capabilities as needed.
  6. When done, click Save changes.

By taking these steps, you can grant your team specific access while safeguarding the sensitive parts of your firm's records. For more information on this process, feel free to explore this resource: Change your team's admin access in QuickBooks Online Accountant.

On the other hand, if you need to send out your client’s tax info, reference this article: Use Workpapers to export your clients’ tax info.
