Question

im a driving instructor with prepaid lessons 10 hours in advance so payments taken are not mine until I've earnt it anyone else have a similar situation and best way to manage I can invoice every lesson ?

Hi there Andrew, thanks for taking the time to post your concern here. I'd be glad to walk you through the process of creating invoices in QuickBooks Online (QBO).

 

As a driving instructor with prepaid lessons, it's important to have a system in place to manage your payments effectively. Invoicing each lesson using QBO is a great way to keep track of your earnings if your customer plans to pay you in the future. To do that, follow the steps below:

 

  1. Click the +New button, then select Invoice.
  2. From the Customer dropdown, select a customer.
  3. Review the Invoice date. Then from the Terms ▼ dropdown, select the due date.
  4. From the Product/Service column, select a product or service.
  5. Fill in the Quantity, Rate, and Amount if needed.
  6. Once done, click on Save and Close.

However, if your customer pays you in advance, we can record the payment as a Bank Deposit. Then, we'll make sure Accounts Receivable (A/R) is the affected account.

 

  1. Click the + New button, then select Bank Deposit.
  2. Enter your desired bank account in the Account field.
  3. Go to the Add funds to this deposit section.
  4. In the RECEIVE FROM column, enter the customer's name.
  5. In the ACCOUNT column, select Accounts Receivable (A/R).
  6. In the AMOUNT column, enter the received amount.
  7. Click Save and Close.
