American Express transactions missing when date processed is later than date authorised

Hi, this has been an ongoing problem for some transactions. Certain retailers authorise a transaction at the point of purchase but don't take payment until the item is ready to ship. During this time the transaction sits in the pending tab on American Express so is not pulled into QBO, when the transaction is processed by AMEX it is then entered on the statement on the purchase date rather than processed date. 

 

I believe QBO is set to only look for new transactions for a few days before the date the import is ran, because of this it misses these "delayed" transactions and they have to be added manually which is time consuming and exposes us to human error which may have a knock-on effect with reconciling. 

 

Are there any ways to fix this? I think if QBO were to look for missing transactions up to 2 weeks before the import date it would accomplish this. We tend to import transactions twice a day on weekdays so perhaps if we reduced this it would help but we like to keep on top of matching entries.

    Thank you for your message, I have looked into this for you and as you have mentioned only completed transactions are posted into QuickBooks Online through any banking connection. The pending transactions are not seen as complete which is why they are not passed into QuickBooks Online. When you select update in QBO the transactions brought in are what the Bank advises QuickBooks is available. I can understand missing transactions due to the pending overlap can be frustrating and having to then manually upload any missing transactions.

     

    Can I please confirm when you download your CSV with the transactions does it post the pending transaction in the period it occurred? Because when QuickBooks requests the transactions this will only pull in from the last date on the banking. I will look to pass on some Feedback to our Banking team with regards to the issues this causing for yourself.

    I haven't downloaded a CSV, would I download this from AMEX? If I were to do that and then upload it to QBO does Quickbooks only import transactions from it that do not exist already or will it duplicate anything already brought over from the Quickbooks connection when I click the Update button?

     

    When Quickbooks connects to a bank account does it only look for transactions since the last date of update or does it look for any new transactions that may have been added to the past few days?

    Hello,

     

    You can download a .CSV list of transactions by logging into your online banking for AMEX and selecting the date range you want. From there, you can download it, your bank should give you options for the format, choose .CSV or Excel Spreadsheet as those are the requirements for QuickBooks Online. Then save to your computer.

     

    To import the .CSV to the Quickbooks if you click on the cog in the top right and then go to import data and then bank data, then browse to the file. You can also click the drop-down next to update in your banking screen, and choose file upload

     

    It will not recognize if transactions are already in the QuickBooks so you would need to make sure you exclude any that exist already either by removing from the CSV prior to uploading or when you have uploaded by ticking in the box to the right of the date and then going to batch actions and exclude selected.

     

    When QuickBooks connects to a bank account using the update button or with the automatic update it should only look for transactions since the last update for example if it updated on the 21st and stopped updating as it needed additional security put in as requested by the bank once you have completed this it will then update and pull in transactions since the 21st only.
