Hi there, @callumpearson28-. Let me assist you with your query.

I’m assuming you are using QuickBooks Self-Employed, they are using the simplified expense method (with flat rates) to calculate the allowable business expense for your car, van, or motorcycle. The rate is based on the mileage you drive.

  • Cars and goods vehicles: 0 - 10,000 miles - 45p
  • Cars and goods vehicles: After 10,000 miles - 25p
  • Motorcycles: 24p

You can refer to this article to know more about Simplified expense method.

If you want to do the calculation by yourself, you might want to give this link a visit.

Feel free to let me know if you need anything else. I'll be here to help. Keep safe!

Hi was wondering can I start quick books in the middle of a tax year and can I log the part of the tax year I missed onto the quick books app and will it accept it thanks

Hello Phone Repairs,

Welcome to the Community page,

With Quickbooks, you can start at any point throughout the year and can backdate it as far as you need to.

Hi, I'm just asking for a little bit of advice please. I've recently started up my own business so I'm new to all of this! I am just wondering if I need to still include my fuel in expenses as well as including my mileage?

Also I have some direct debits (expenses) is it ok for me to just use my bank statement as proof of receipt?

Thankyou!

Just a quick question about claiming mileage.  There is a drop-down called Business Purpose.  This list only has a few options, none of which cover my use case.  Is there a way to edit this list?

Thanks for joining this thread, Sophia and @mbrideau.

To ensure the accuracy of your accounts, you'll want to keep a record of all your transactions. Thus, it's a best practice to record them in your QuickBooks Online (QBO) account.

In regards to your direct debits expenses, you'll want to record them so can reconcile your accounts and bank statement seamlessly. I'll show you how.

  1. Go to the + New menu and select Expense.
  2. Enter the needed details for your expense and click Save and close.
  3. Repeat the same process for your other expenses.

You can also use this link for additional reference: Enter and manage expenses in QuickBooks Online.

Moreover, I'd suggest working with your accountant for the best advice in handling your accounts. This way, we can guarantee your accounts are well accounted for.

On the other hand, @mbrideau.

Editing the list in the Business Purpose drop-down isn't possible in QBO. You'll want to work with your accountant for guidance on what category to choose in covering your cause.

Furthermore, I'm adding this link that can both aid you in tracking your mileage seamlessly: Automatically track mileage in QuickBooks Online.

If there's anything else you need assistance with about mileage or expenses, you're always welcome in the Community space. I'll be here ready to lend a helping hand. Keep safe!

Hi I’m struggling getting in to the desktop version to do my vat invoice. It just won’t load. Is there a way of doing it on mobile apps??

January 1, 2022

Hello, Daniel.

I understand how important it is for you to do your tasks. I'll share information so you'll be able to do VAT invoices.

If it's QuickBooks Desktop your using, you can run the verify and rebuild data. This resolves a typical data issue that prevents the software from performing as intended. I'll show you how to do it.

Verify data:

  1. Go to the Window menu, then select Close All.
  2. Click the File menu.
  3. Hover your mouse to the Utilities, then choose Verify Data.
  4. If QuickBooks detected no problem with your data, no further action is needed.
  5. If there's a specific error message, you can search for articles using this link: QuickBooks Desktop support site.

Rebuild Data:

  1. Go to the File menu.
  2. Hover to Utilities, then Rebuild Data.
  3. You will receive a warning message to backup your company file, press OK.
  4. Select where you want to save your backup, then OK.
  5. The Rebuild Data will start as soon as the backup is finished.
  6. Click OK when you get the message "Rebuild has completed".

For your reference, check out this article for the complete details: Verify and Rebuild Data in QuickBooks Desktop.

If you're referring to the QuickBooks Desktop app, it's no longer supported. This might be the reason why the invoice won't load. Also, you can download and install QuickBooks mobile app or log in through any supported browser to access your account.

In addition, I've included this resource for your future reference to learn how to set up and use the VAT feature: Set up and use VAT in QuickBooks Online.

Let me know if you need further assistance with VAT. We're always here to back you up.

Hi, ashermasher.

This unexpected behavior can also be caused by a cache-related issue. When a browser's cache is full or corrupted, it can cause several issues within QuickBooks. One way to rule this out is to use an incognito or private browser:

  • Google Chrome: CTRL + Shift + N.
  • Microsoft Edge: CTRL + Shift + N
  • Mozilla Firefox: CTRL + Shift + P
  • Safari (new versions): Command Shift N

Log it to your QuickBooks account, then check the accounts under the Banking tab. When they appear properly, go back to the regular browser and clear its cache. This will clear the webpage data that's causing the issue.

Close out any browser instances to complete the process.

Alternatively, you can use another supported browser to check your connected accounts.

For more information, you can review this article as your future reference: Connect bank and credit card accounts to QuickBooks Online. In addition, you have the option to manually download your transactions in QuickBooks Online.

Don't hesitate to post again here if you have further concerns in connecting your bank account with QuickBooks. I'm always here to help. Keep safe.

Hi Team,

Hoping you can help? I have registered as a Sole Trader, and have registered for VAT voluntarily (income way under £85k PA). Could you help me understand what expenses I can claim back the whole amount for, and what I can claim only VAT back on, and how to enter these in QB using the correct dropdown choices?

I have used my own savings to start my business, purchase a van (cost +VAT) and stock. I've heard that if I have funded the start up myself, it can be classed as a directors loan? Does this means I don't owe any VAT or income tax until the amount I've invested is surpassed by earnings and VAT owed? Can I claim the VAT back I paid on the van?

I started my business in October 2021. I understand my first VAT return can be submitted from Feb 1st 2022, and I don't have to submit a self assessment for Income Tax until end of January 2023?

Trying to ensure I don't miss anything out I may end up owing.

Thanks very much in advance for any help you can give me.

Kev.

Hi, I need some help. I just logged in to download my tax report from tax year 2020-21. I have seen the file before with all fields filled out but for some reason when I click on it now, every field is coming up as zero. When I click on my reports all the data is still there and when I click on the current tax year, it is also showing the correct figures. Why has everything disappeared? Trying to do my tax return is becoming a nightmare!

January 5, 2022

Hello J_ARG95, thanks for reaching out to us on this thread, did you delete a bank account or anything? can you check in the transactions section do you have any transactions showing up for that tax year or not?

January 5, 2022

Hi Ashleigh thanks for getting back to me!

No my bank account has always been the same and is all synced up. And yes I have hundreds of transactions for that tax year that have all been categorised for some time!

Hi,

Im just sending out reminders to customers but they are only going to the original email address that the invoice was sent to, even though this email address has been deleted and removed from the customer account set up.

Is there any way to make the reminders go to the customer account setting email?

Thanks

Jen

January 6, 2022

Hello Jen, thanks for posting on this thread. Can we ask what is the email address on the original invoice that the reminders are for? Could you please check to see if it is the original email or the new one entered in on that invoice.

January 6, 2022

Hi,

So the original invoice has email [email address removed].  The reminder goes to this email.  John has since left the business so the email got changed to [email address removed] on the account in the customer account window (statements and emails will go to this email).

But reminders still go to the original recipient of the invoice, is that the case?  Seems a huge data risk to me that the system keeps old emails instead of using up to date account settings, worries me that we are in breach of data regs.

January 6, 2022

Hello,

A small question about undelivered invoice.

If I have 2 emails of a customer in account and getting undelivered message is there a way to know if it wasn't delivered only to one email or if both didn't worked?

Thank you

January 6, 2022

Hello Dode, thanks for commenting on this thread, unfortunately there is no way of being able to tell which email it has been sent to or not, the only other way would be to cc your self in to then see if the email gets sent or not. You can leave this as feedback within the main cog wheel.
