Question

How can I reconcile a part payment against a journal entry? When 'find a match' it won't come up in search criteria.

Payment was made short so payment was made at later date. I have two payments to match but the journal doesn't appear when I search for it

Let's get your transactions matched so you can get back to the working order, @abigail-oborne-g.

There are some possible reasons why transactions aren't showing when matching them. Here are the following:

  • The transaction's date and amount are different.
  • The transaction that you've imported is a payment/ deposit of two or more open transactions in QuickBooks.
  • The transaction was recorded in a different bank account.

To verify, you'll want to review your journal entry to make sure the date and amount are the same as your downloaded payments. Also, check the bank account used.

If you're still unable to find a match after verifying the transactions, let's perform basic troubleshooting steps. There are times that the browser stores frequently accessed data, thus causing QBO to act weirdly. Let's start by accessing your QBO account through an incognito window or a different browser.

If this works, it means that you need to clear the browser's cache so the system can start fresh. If you get the same result while using a private browser, I recommend switching to a different one.

I'm also adding this article to learn more about matching transactions in QBO: Categorise and match online bank transactions in QuickBooks Online.

Once you're able to match your journal entry to your payments, you can now reconcile your bank account. For more guidance, feel free to check out this article: Reconcile an account in QuickBooks Online.
