Question

After switching to online, some old transactions show as unreconciled. Instead of going through each transaction, can I archive everything prior to 2020?

I'm here to give some details about converting data from QuickBooks Desktop to QuickBooks Online.

 

Can you share what type of online subscription do you have? If you're using QuickBooks Online Advanced, you can use the backup and restore feature to save a copy of your data. Since when you switch from QuickBooks Desktop to QuickBooks Online, the past reconciliation report won't convert to QBO. This is the reason why some old transactions show unreconciled.

 

Alternatively, you can run a report specific to the bank account that shows uncleared or unreconciled transactions. Then, export it to excel to save a copy since archiving them isn't available. I'll show you how.

 

  1. Login to your QuickBooks Online account.
  2. Go to the Gear icon, then select Chart of Accounts.
  3. Locate the bank and click on the View register dropdown.
  4. Choose Run report from the list.
  5. Hit on the Customize button.
  6. Set the reporting date under the Report period.
  7. Go to the Filter section.
  8. Tick the box in the Cleared area, then choose Uncleared from the dropdown.
  9. Once done, Select Run report.

 

Then, you can export your report to Excel and save it on the location you can easily find. Also, you can open each transaction and manually changing the status to "R" as reconciled.

 

Here's how:

 

  1. Go to the Accounting menu, then select Chart of Accounts.
  2. Locate the bank account.
  3. Click on View Register.
  4. You can filter the transaction by clicking on the Filter dropdown.
  5. Enter the specific date and hit Apply.
  6. Select the transaction and click on the blank column until the status "R" appears.
  7. Once done, hit Save.
  8. Repeat the same step for the rest of the transactions.
