Can I turn off QBO's categorization in downloaded transactions?

QBO's algorithm for automatically suggesting categories seems quite faulty.  I would rather it not suggest at all than suggest the wrong categories.  In addition, I would rather my cc payments are categorized rather than put as CC credit.  This causes big trouble.

Hi @newbytoo.

 

Thank you for sharing more details. When QuickBooks seems to botch categories, the Enable suggested categorization may be activated.

 

You can deactivate this feature by going to the Banking page and selecting the mini Gear icon. Here's how:

 

  1. Go to Transactions/Banking menu and then select Banking.
  2. From the For review tab, click the mini Gear icon.
  3. From the Groups section, uncheck Enable suggested categorization.
  4. Click the mini Gear icon again to save the setting.
     



 

That will point you to the right direction. If you still find issues with QuickBooks Online assigning or adding categories to your transactions. I recommend contacting our Care Support team by following the steps provided by MadelynC. From there, they can access your account in a secure environment.

Yes, you can, newbytoo.

 

Turning off the Auto-add feature will prevent the system from automatically categorizing your downloaded transactions in QuickBooks Online. 

 

Let me walk you through how:

 

  1. Navigate the Banking menu and select the Rules tab.
  2. Locate the rule and click Edit.
  3. Scroll down and toggle under the Automatically confirm transactions this rule applies to option.
  4. Click on Save.

 

With these steps, QuickBooks will no longer automatically categorize the transaction on that specific rule you've created.

Also, once everything is set, you can now reconcile your account.

Hi, GlinetteC.  Thank you for your response to my post.  I may not have made my issue clear.  It is not my rules that are the problem.  It is when I do not have a rule that QBO seems to botch the categories...terribly!  

 

For example, I have a vendor in Hugo MN.  I also visited a restaurant named Hugo's.  Every time I pay my vendor for their service it came up as "Meals Out", the category I would have established for my personal dining.

 

Worse yet the categories often affect other registers.  Like when I pay my city government for the water bill QBO chooses a credit card payment.  If I don't catch it before accepting the tranaction I will have a mess on my hands for reconciliation.  

 

I want QBO to stop trying to add categories for me...having them auto confirm is out of the question until QBO can get my categories right.

Since the program auto categorized your transactions incorrectly and often affects other registers, it would be best for you to contact our support team. They can check the issue further and help you find more solutions.


Here’s how:

 

  1. Open your QuickBooks Online account.
  2. Select the Help (?) menu.
  3. In the Assistant window, type in “Talk to a human” in the field.
  4. Enter your brief concern, then go to the Contact option.
  5. Choose a way to connect with us:
    • Start a chat with a support expert.
    • Get a callback from the next available expert.

Once everything is good, you can proceed to reconcile your accounts to make sure transactions are balanced. The reference includes fixes and steps to edit completed reconciliations.
