Question

Categorized Transactions

I'm new to QBO and am having a hard time understanding exactly how the "categorized" and "excluded" tabs work.

1. Do reconciled transactions remain in the categorized tab forever?  If so, is there an easy way to tell if they've been reconciled (other than trying to undo them and getting a message that they're reconciled already)?

2. I've read conflicting articles regarding the excluded tab. Do items in this tab show up in financials? Must they be deleted entirely in order not to affect financials?

Thanks for joining in the Community, Stephanie-Bend.

I can share some tips in handling bank transactions in QuickBooks Online.

Yes, those transactions in the Categorized tab will stay forever. These are already accepted and match. The easiest way to identify if it's already reconciled is by going to your bank register. When you click on the View register, you'll see an R meaning it's reconciled. If you see C it's a cleared item that's coming from accepting a green match in the For Review screen.

On the other hand, transactions under the Excluded tab will not show on your financial report. You can delete them entirely. Let me guide you to remove them permanently.

  1. Go to the Banking or Transaction menu.
  2. Select the bank account you will be working on.
  3. Click the Excluded tab, put a checkmark in the box for those transactions that you'd like to permanently delete.
  4. Choose Batch actions, then Delete.
  5. You'll be asked if you're sure. Click Yes to confirm.

Feel free to review this resource for more info: Exclude a bank transaction you downloaded into QuickBooks Online.  This provides additional details about excluding transactions.

In addition, I've got this helpful article that can guide you in case you want to adjust a past reconciliation: Enter an adjusting entry for reconciliation in QuickBooks Online.

Feel comfortable leaving any details below if you have follow-up questions about the bank transactions or reconciliation. I'm just a post away if you need a helping hand.
