Changing a credit card credit to an expense

Hi I am new to QB online.  I entered all of the actual expenses in QB as credit card credits.  I am not hooked up to the bank.  I need to change all of the transactions to expenses.  How do I do that, I do not want to delete and start over.

Thank you

Carsyn

Hi Carsyn,

I understand that transitioning to QuickBooks Online can sometimes be a bit overwhelming, especially when it comes to managing expenses and transactions. Rest assured, I'm here to help you navigate through this situation.

It's completely understandable that you entered your actual expenses as credit card credits, and now you'd like to change them to expenses without having to delete and start over. However, we are unable to do this, so the solution is to delete the entered transactions and enter them as expenses.

Uploading transactions is little bit faster, You may want to take that route instead of re-entering them one by one. Here's an article for your reference: Manually upload transactions into QuickBooks Online.

If you encounter any difficulties or have further questions during this process, please don't hesitate to reach out. I'm here to provide you with the assistance you need and ensure that your transition to QuickBooks Online is as smooth as possible.

I entered several transactions as credit card expenses. When I went back into them, they somehow changed to credit card credits. Now I have to delete them and re-enter and re-reconcile. Why did this happen? How do you propose to fix this?

Let me provide some information as to why your expenses turned into credits, David.

May I know how did you record your expenses?

If you use regular expenses and then set the Credit Card as the payment account, this would normally not change the said entry unless it was deleted. It's best to check the audit log  to see what changes have been made.

Here's how:

  1. Go to the Gear icon at the top right corner.
  2. Under the Tools column, choose Audit Log
  3. Select your preferred UserDate, and Events by clicking its dropdown icon.
  4. Under the History column, press View.
  5. You can also edit the transaction by clicking the information next to the History of this transaction
  6. You'll be routed to the transaction that you've selected.
  7. You have an option to make an edit. Right after, click Save and close

If the issue persists even though there are no records of changes, I suggest clearing your cache and cookies. This way, we can quickly fix the issue. After cleaning your cache, restart your PC and log in again to QuickBooks.

You can also use your private browser to avoid any interruptions. Here are the shortcut keys that'll route you to a private browser:

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Microsoft Edge: press Ctrl + Shift + N
  • Safari: press Command + Shift + N

You may also want to know what browsers are supported by QuickBooks.

Furthermore, you may reconcile an account in QuickBooks Online after reviewing your accounts.

Please let me know if you have further concerns regarding expenses or anything related to QuickBooks. I'm happy to help.

I am absolutely baffled that over many many months and MULTIPLE people saying this is bogus and why isn't there a way to change a credit card credit to an expense...that QBO hasn't corrected this yet!!  We were completely coerced by QB to change from Desktop to QBO online because it is SO MUCH "BETTER".  I have yet to see how it is better.  It is less user friendly than QBDesktop.  FIX IT if you expect people to use it!

Just put the expenses/credits in the same tab like in QB Desktop, where is literally a button click if you want to change between an expense and a credit - the color of the screen changed so you KNEW if you were entering into the right category.  It was ridiculously easy - why do you keep saying that it isn't a feature, when it was ALWAYS a feature before?

We don't want you to experience this issue when tracking and reconciling your credit card expenses, Dave. I'm here to help you overcome this matter by providing relevant troubleshooting.

Please know the investigation mentioned above has already been resolved. Since you encounter the same issue, we can perform some troubleshooting so you can reconcile your transactions accordingly.

To begin with, let's review your audit log to check if there are updates made, making the credit card expenses as credit card credits. If there has been no record of these changes, access your company file using a private window. This can prevent interruptions from corrupted cache files, which causes discrepancies in your data.

You'll want to refer to these keyboard shortcuts:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Shift + Ctrl + P
  • Microsoft Edge: Ctrl + Shift + N

Once everything looks good, clear the cache from your regular browser to refresh the website's preferences. To maximize your experience, ensure to utilize a supported and updated browser.

However, you can delete your credit card credits and recreate them as expenses if it is verified that these entries have been modified.

On the other hand, the system will automatically generate reconciliation reports after reconciling your accounts. Running one can provide you with a convenient summary of your beginning and ending balances, as well as a list of cleared and uncleared transactions.

We're here to help if you need further assistance correcting credit card transactions and reconciling them in QuickBooks Online. Kindly consider adding a reply below, and we'll get back to you with all the necessary help.
