Chase Credit Card with Sub Account

I am trying to correctly setup my Chase Credit Card with a sub-account.  In quickbooks Desktop the subaccount would automatically download - without any additional setup. I only had the primary account setup and it worked to sync all transactions.  

 

Since transitioning to QBO the sub account no longer syncs when I update the account.  I added the sub-account and set it up as a sub to the primary account, but it still does not sync. It will not allow me to separately "link" the sub account to the online connection.  

 

I have spoken with QBO support 3 different times and keep getting told different things.  One of them had me setup a parent account (empty account) with the real primary card as a sub and the other sub-account as a second sub.  The transactions were downloading correctly into each of these sub accounts, but the running totals were not working and when I paid down the credit card or did anything else.  Also the primary "sub" account would show the total online balance but the QBO balance never matched up.  

 

I then spoke with another rep who had me switch it back to my original setup with the Primary card as the parent and the sub account as the sub.  This way definitely looks correct, but we are back to the transactions for the sub account not downloading.  

 

I was going to get on QBO support again but after 3 failed attempts I figured I'd come to the community and see what resolution I can get.  It is frustrating after having it work flawlessly on QBD to have issues on QBO.

Hi there, DSPD.

 

Your banking concerns may not be easy process for you in QuickBooks Online (QBO). But, I'm here to make sure the sub-account will download transactions.

 

In QBO, you need to know how your bank sends the downloaded transactions before connecting to Online Banking. If transactions download to one account, connect only the parent account. 

 

If transactions download to the individual accounts, connect the sub-accounts and not the parent one. QBO won't let you connect both a parent account and its subaccounts.

Some banks may show the overall bank balance at each subaccount level. This is because the bank provides us with a static balance of the entire account, not the balance of each subaccount.


When it’s time to reconcile, you only need to reconcile the parent account. This is because all transactions in the sub-accounts roll up into it.

If I have them setup as a sub account of an empty parent account, they would each download their own transactions.  But when I made a payment I did not know what account to apply it to (The empty parent, the primary sub (which is the real parent), or the other sub).  When I did it showed all the wrong balances since the sub account did not "receive" any of the payment.  It just seems no matter how I set it up it is not a logical process on how to make payments, reconcile, or download transactions correctly.  

 

If I have both accounts setup as a sub then the bank downloads the transactions separately into each of their own registers.  But the whole bank balance shows as being on the primary sub.

Let's double-check if you connect your account set up correctly. Account set up in QuickBooks Online is based on the transactions downloaded. 

 

Please be advised, you can either connect the parent account or its sub-accounts. It depends on where your bank posts the transactions.

The investigation about syncing Chase Business Credit Card is already resolved. You can now connect your account to your QuickBooks Online (QBO) account. 

 

Here's how to connect your credit card account:

 

  1. Go to Bookkeeping, click on Transactions, and choose Bank transactions.
  2. Click on Connect account or Link account.
  3. In the search field, enter the name of your credit card
  4. Select Continue and provide your credentials.
  5. Follow the on-screen instructions to connect to the credit card account.

IT IS NOT RESOLVED. Now January 28, 2025: when you add the parent account following these instructions, you get "Account X has a sub account that is already connected and worse the darn interface only allows you go to back to 1/29/2023 to get transactions wheras I need transactions going back to 10/21/2021. You people suck royally.

I understand that my colleagues may have mentioned this earlier in this thread: In QuickBooks Online (QBO), you can connect either the parent account or the sub-accounts, but not both simultaneously. This applies to all banks connected to online banking in QBO, including Chase Bank.  I can see that facing the same issues repeatedly can disrupt the management of your financials within the software. Let’s work through this together and resolve the issue.

 

When you connect the parent account, QBO consolidates all the transactions from its sub-accounts into a single overview. Conversely, linking each sub-account individually allows for detailed tracking and management of transactions specific to each sub-account, with the totals still rolling under the parent account in your financial reports.

 

Chase Bank typically provides individual statements for each sub-account rather than a single consolidated statement for the parent account. However, this is something you would have to confirm with your financial institution so you would know which one to link.

 

After confirming that you only need to connect the parent account, you can disconnect the sub-account first. Just a heads up, when you disconnect, you’ll no longer see transactions that still need to be categorized in the For review tab. I recommend categorizing or matching transactions before following these steps:

 

  1. Go to Transactions, then Bank transactions.
  2. Pick the tile for the bank account.
  3. Click on the pencil icon, then select Edit account info.
  4. Select the Disconnect this account on save checkbox.
  5. Note: If QuickBooks is downloading new transactions, you won't see this option. Wait a few minutes for the update to finish, and, try again.
  6. Select Save and Close.

Regarding handling historical transactions, QBO can only go far back 90 days from the current date of the connection. This is often determined by the bank and their policies on data sharing through their connection interfaces.

 

For transactions older than the 90-day limit, you will need to download and import them. Here are the steps:

 

  1. Log in to your Chase online account.
  2. Download the transactions in a CSV, QFX, QBO, OFX, or TXT format.
  3. In your QBO account, go to the Gear icon. Then, select Import data.
  4. From the What do you want to import? drop-down list, choose Bank data.
  5. Drag and drop the file downloaded from Chase Bank. Then, hit Continue.
  6. Select the Chase Bank from the list to indicate which account these transactions are from.
  7. Follow the on-screen instructions.

 

When this is resolved, run financial reports to ensure bank transactions are correctly categorized: Run a report in QuickBooks Online.

Same issue here. It'll be a few more years before this is fixed I'm sure. I'm still having this issue and makes reporting almost useless because it screws up the accounts its pulling from too unless you JE it out which is also a pain.

Connecting your bank and credit card account in QuickBooks Online (QBO) is crucial, especially when pulling up a report, blastingbytesjr.

Here's how:

 

  1. Log in to your QBO account from your browser.
  2. Select Help (?).
  3. Choose the Search tab.
  4. At the bottom of your screen, click Contact Us.  
  5. Select a topic to connect with the right expert.
  6. Choose Callback or Chat to contact our support.
  7. Ensure you provide the required information in the First Name, Last Name, Email Address, and Phone Number.
  8. Depending on what you choose as your way to connect with us, click Callback or Chat.

Tried that for other issues and was upsold to the "Quickbooks Expert" at "only" $50/mo so I'm good.

For anyone reading this, there is no resolution.  If you set it up one way (primary card as the master, employee cards as sub accounts), you won't get all your transactions, or be able to link your sub accounts.  If you set it up another way ("empty" master account, with the chase primary card and all employee cards as sub accounts), you'll get all your transactions, but it won't reconcile properly, throwing off all your individual card balances.

 

Frankly, this is insulting how QB staff keep saying this is resolved.  This is purely an error on Intuit's part with QBO.  Chase business cards integrated perfectly fine with QB Desktop. On QB Desktop, the primary card was the master, employee accounts "rolled up" to the master.  All transactions were caught, and reconciliation worked fine.  I believe Intuit changed their handling and just doesn't care enough to fix it.  Great experience.

Just wait till they tell you to "contact an expert" to resolve this for the low low price of an ADDITIONAL $100/mo for the basic plan. Its a joke.
