Check deposit recorded as debit rather than credit

A large number of payments were deposited in the correct bank, however entered in the wrong (closed) bank account. I edited each payment and changed to the correct bank, however each is showing now as a payment rather than a deposit. I'm lost.

Let's check why the deposit is showing as debit and help ensure the transaction is posted to the correct bank account.

 

It's normal that QuickBooks creates debits and credits when entering bank deposits. This happens to all transactions.

 

Try opening the deposit, click More and choose Transaction Journal. From there, you'll see the movement of funds from one account to another through debits and credits.

 

QuickBooks uses double-entry accounting when you create a transaction, meaning it affects at least two accounts in your ledger. You can check the article that explains how accounts are affected by debits and credits for additional reference. 

 

On the other hand, a deposit will show as payment when you use the Receive Payment form. If you want to use the deposit form, open the transactions. From the Deposit to field, choose the Undeposited Funds account. See the attached screenshot below as your visual reference.

 

 

Doing this will post the transaction to the Undeposited Funds account. You can then make a deposit to the correct bank account. I'll outline the steps below.

 

  1. Click + New, then choose Bank Deposit.
  2. From the Account ▼ drop-down, choose the account you want to put the money into.
  3. Mark the transaction. If you want to make bulk deposit, put all transactions to the UF and mark them together.
  4. Make sure the total of the selected transactions matches your deposit slip. Use your deposit slip as a reference.
  5. Click Save and close or Save and new.
