Question

Downloading bank transactions

I just added a bank account in QB Desktop and connected it with the bank.  But when I sync it, it only downloaded the transactions back to 12/14/20.  How do I get it to download all the transactions back to the beginning of 2020?

Hello @meshmash,

Welcome to the Community. I'm here to help you download the transactions from the prior year in QuickBooks.

QuickBooks automatically downloads banking data the first time you connect an account. Most banks provide information for the previous 90 days only.

To download older transactions, I recommend using the Web Connect feature. Before starting the import process, go to your bank's website and request the file you need to upload in QuickBooks.

Some banks let you set a date range for downloads. This may be 30, 60, 90 days, or more depending on the financial institution.

Here's how:

  1. Open a web browser and go to your bank’s website.
  2. Sign in to your bank account using your normal process.
  3. Download your transactions as a QuickBooks Web Connect (.qbo) file.
  4. Once you have the Web Connect file, follow the steps to import it into QuickBooks Desktop.

Once done, start importing the transactions so they become available in your Bank Feeds. Please follow these steps:

  1. From the Banking menu, select Bank Feeds, then Import Web Connect Files.
  2. Select the QBO file you saved, then select Open.
  3. Choose the bank account.
  4. Click Continue, then select OK.
  5. Go to the Bank Feeds Center to review your transactions.

For additional reference, you can use the following article to review and match transactions in QuickBooks: Add and match Bank Feed transactions in QuickBooks Desktop.

I'll help you bring your transactions into QuickBooks Desktop, parveenbat.

Your financial institution may have system maintenance. It could be the reason why the transactions aren't downloading. I'd recommend visiting their website to check if there are alerts or updates from their end.

If there's no maintenance, I recommend reaching out to our QuickBooks Support Team again. They can take a closer look at this issue and raise a ticket to our engineering team if necessary.

For now, you'll want to download a Web Connect file directly from your bank. This way, you can keep your account updated. Here's how:

  1. Sign in to your bank's website
  2. Find and download the Web Connect file.
  3. Open QuickBooks and your company file, then import the .qbo file.

If you're using QuickBooks Online, the issue in your bank transactions could be browser-related. Let's access your account via a private window to resolve this. Here are the keyboard shortcuts:

  • Safari: Command + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + P

Once logged in, check if the bank transactions show. If so, let's clear the browser's cache to ensure the program performs efficiently. Otherwise, you can use other supported browsers

In case the issue persists, I'd recommend updating your bank manually to bring the transactions into QuickBooks. For the detailed steps, I'd suggest browsing this article: What To Do if you Get a Bank Error or Can't Download Transactions.

You can also manually upload the transactions into the program

@BWC1

Check with your bank, which file format of bank statement they can provide. Other than .QBO or.CSV, you will need a 3rd party converter app.

Hello there, BWC1.

I can show you how to import your bank transactions.

Fiat Lux - ASIA is correct, if you want to enter older transactions, or if your bank or credit card can't connect to QuickBooks, you can still upload transactions manually. To start, you can sign in to your bank or credit card's website and download a CSV, QBO, or QFX file of your bank transactions of your transactions to your computer.

Then, you can follow these steps on how to upload your bank transactions into QuickBooks. These steps apply if your bank account is already connected to the system.

  1. Go to the Banking or Transactions menu. Then, select the Banking.
  2. Select the blue tile for the account you want to upload the transactions into and at the upper-right, click the Link account dropdown and then Upload from file.
  3. Click Browse and then select the file you downloaded from your bank. Then, Next.
  4. In the QuickBooks account dropdown, select the account you want to upload the transactions into. Click Next.
  5. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks. To proceed, click Next.
  6. Select the transactions you would like to import and then Next.
  7. Click Yes and once you're ready, select Let's go.

If your account is not yet connected, you can follow the steps under the For account not connected to online banking section of this article: Manually upload transactions into QuickBooks Online.

After the import, you can now categorize your transactions and reconcile the account

I'm just here if you have other questions in handling your bank downloaded transactions. Should you need more help, please don't hesitate to post them here. Take care!
