Duplicate transactions from bank feed

I upgraded from QB 2019 to QB 2022 since 2019 wasn't going to be supported past May 2022.  Soon after I did the upgrade I started having problems with company file corruptions (rebuild did no good) that led to a point where as soon as I started QB and logged in, the program immediately terminated.

 

I was told my company file was corrupted so I sent it to data services for repair.  They returned my "fixed" file but the file was missing quite a bit of data like social security numbers for my employeese and other important fields such as my bank feed information.   I entered all the missing information and reconnected the bank feed to my bank accounts. 

 

Now the problem I'm having is that when I do a bank feed, the transactions downloaded from my bank (as old as two years) duplicate the transactions already in my check register that were downloaded before my company file was fixed.  I suspect there is a hidden field associated with bank feeds or the related QB accounts that keeps track of the last time transactions were downloaded.

 

Any ideas?

Hello there, @johnpeck. I'm here to ensure you'll be able to fix the duplicate transactions in bank feeds in QuickBooks Desktop (QBDT).

 

I appreciate you providing information about your concern. To start the troubleshooting steps, let me first discuss some details about this. 

 

QuickBooks automatically downloads the maximum number of transactions available from your bank once it is connected to online banking. Also, each bank account is linked differently to the program and sometimes there are cross wires. That said, QBDT might download duplicate transactions occasionally. 

 

To fix this, you can simply remove the duplicates. The process depends on the mode you're using. But before that, ensure that you review and match the transaction in QuickBooks. Then, create a backup copy of your file so we can make sure you have the original file that can be restored in case of accidental data loss or damage. 

 

When ready, follow these steps to delete duplicates:

 

If you're in the Register mode

 

  1. In your company file, go to the Banking menu and select Bank Feeds then, click Bank Feeds Center.
  2. Next, locate and select the statement from the Items Received From Financial Institution section and click View.
  3. From there, match the appropriate transactions then, select Done.
  4. Select Yes in the Not Finished Matching screen. You'll return to the Online Banking Center.
  5. Look for the same statement from the Items Received From Financial Institution section and select it. Then, click Delete.

 

If you're using the Side-by-Side mode

 

  1. In your company file, navigate to the Banking menu and select Bank Feeds then, click Bank Feeds Center.
  2. Next, in the Items Reviewed section, select the account with the transactions you want to remove.
  3. Click Items to Delete.
  4. From there, select the transactions you want to delete.
  5. Then, select Delete Selected and click Yes to confirm.

Thanks for your suggestions.

 

I may not have fully underestood your answer but it seems that you addressed how to match transactions that have been downloaded from the bank with transactinos already in my QB accounts.  If so, this isn't what my problem is about.  

 

My problem is that too many transactions are being downloaded from the bank, and as such they duplicate transactions that were downloaded before my company file was repaired by QB Data Services.  When my company file was returned form Data Services, the Bank Feed connection information had been deleted, and when I again connected the Bank Feed to my bank I literally got more than 1,000 duplicate transactions that had been downloaded before my company file was returned.   As a side note, but no longer a problem, all my employees' social security numbers were also deleted so I had to reenter all of them before running a payroll.  I suspect maybe both sets of information were deleted as a security precaution but the side effects of duplicate bank transactions is killing me.

You may have 3 options:

1. Contact Data Service again to fix this "new problem"

2. Purchase a 3rd party file repair service and make sure they fix the original file you sent to Data Service without creating a new problem

3. Create a new company file and migrate data if required. Another option purchase a 3rd party service to do so.

I think I have the solution.  It has worked for me so far; I hope it works for everyone else. 

Let me just say that QBO has provided NO help with this GLITCH and they either don't know they have it or don't want to admit to ONE MORE problem with QBO.

 

The problem IS NOT in:

Your bank or bank connection

Your computer

Your browser

Your file

Your settings

 

The problem is a GLITCH with QBO "CATEGORIZED" transactions in your banking section and the duplication is triggered when you start the Matching or Adding process.

After cleaning my register FIVE TIMES, OVER 3500 transactions each time, I finally figured out what the problem/glitch in QBO is and why this is happening over and over.  NOW is up to QBO to fix it so one else must go through this problem again.

 

Disclaimer: I was able to piece this together because the 5th time I had to clean my bank register I decided to VOID the transactions instead of deleting them (I was seeing a pattern before but I had no way to confirm it because I was deleting transactions) and that allowed me to confirm that the SAME transactions kept duplicating over and over.

 

Solution:

1. Go to banking menu

2. Select your bank or account that continues to duplicate

3. Go to categorized transactions

4. Compared transactions in the categorized section to the transactions duplicated in your register

In the categorized section select all transactions that are duplicated (select the ones with the C not R, so you don't have to reconcile again).

5. Clickundo at top.  That will put all of those transactions into your For review section.Once you do this, refresh your browser and you should see all the duplicate transactions disappear from your register.

6. Then Click For review, select all the transactions that were undone and put back in here and click exclude to remove them.

I had my laptop stolen, but backed it up to Google Drive and MS.  Software was not backed up, as usual, or better said some of it was but not where it could be reused, and the loss occurred the weekend after I had no choice but to update and old version data and new version QB caused the corrupt file...I don't recall exact wording but I could not open company files.  After around 31 hours (I looked at call duration on my Verizon bill) and maybe 6 or 7 calls I finally got to a woman in Oklahoma where I described the problem as I had many times before, but I could tell she immediately lit off in a direction other than the others who would go through a two hour slog, get the company open, declare victory and the call was over,.  She fixed it, but I started getting the same download stuff I did not want because I had already downloaded it, balanced the checking account, etc.  What's weird now is when I download and retrieve qbo file, the downloaded prior to issue still comes in and I delete around 300, and accept only what I want.  I wish I had gotten the lady's number and could pay her separately. The support calls prior to her were making things worse so I am concerned about letting QB support walk me through how to get the, 'I already have them' transactions to stop. I asked the woman if the other support calls made a bigger mess, and her reply was guarded.  "If someone decides to listen to this recorded call and you answer that question you could be out of work, right?"  I am going to try downloading a .csv file.  That way I can delete 300 I don't want by highlighting and deleting before sucking them in.
