Hihow do we post data on qb online and nobody should be allowed to make changes unless for the one who entered

Hello there, hpunjabi. I'm here to assist you with posting data in QuickBooks Online that is restricted from being edited by other users.

 

Before we proceed, may I know what type of data you'd like to post or create in the program? 

 

If you wish to make transactions related to customers or vendors, you can simply click the +New button and choose the type of transaction data you require. You can also refer to the image provided below for guidance:

 

 

On the other hand, if you want to prevent other users from editing or modifying the data you have entered into the program, you can manage their roles and access. However, please note that the option to manage or change user roles is only available in the Advanced version of QuickBooks and not in lower versions like Essentials and Plus. The default roles available in the program can't be customizable, so you'll need to manually create a new role and edit the role and access you set for your users. To create a new role, you can follow the simple steps below:

 

  1. Go to the Gear icon, then select Manage Users.
  2. Select the Roles tab, then click Add role.
  3. Enter the Role name and the Role description.
  4. Select the access you want for your users.
  5. Once done, click Save Role.

 

Afterward, go back to the Users tab, then click Edit in the Action column to change the user roles to the newly created ones.
