How can I add an automatically created deposit to a project? The system says that I can't update the customer name to a project name since it was already deposited.

I am trying to create a project and link existing sales to the project, but the system says I can't update the customer name on the sales receipt since it's already deposited. However, I can't undo the deposit in order to adjust the sales receipt, so I want to know how I can link the income to the project.

Let me help you in updating the customer name on a deposit in QuickBooks Online (QBO), dthomas-yesweins.

 

Depending on how the deposit was recorded, we can edit or update the name on the deposit. Open the Bank Deposit screen to see if you can change the name on a deposit. Here's how:

 

  • If the deposit is listed in the section Add other funds to this deposit, changing the name is straightforward. Open the deposit, change the name in the Name field, and then click Save.
  • You cannot directly update the deposit if it is listed in the Select the payments included in this deposit section. You must locate and delete the original deposit, change the name on the original payment, and then recreate the deposit with the new name.

 

The sections that follow will walk you through the steps of updating the name on a deposit listed in the Select payments included in this deposit section. The first step in changing a deposit's name is to locate and delete the original deposit. Here's how it's done:

 

  1. Go to the Gear icon on the top menu. 
  2. Select Chart of Accounts.
  3. Locate the account in the Chart of Accounts.
  4. From the Action column, tap View register.
  5. Choose t the deposit, and select Edit to open it.
  6. Make a note of all the payments in the deposit, or select Print from your browser menu to print a copy of the entire page for easy reference.
  7. Tap More, then choose Delete.

 

Then, the entire deposit will be removed. Just follow the steps below to change the name on the original payment:

 

  1. Go to Get paid & pay or Sales, then select Customers.
  2. Choose the name of the customer on the original payment to open the Transaction List.
  3. Locate and open the original payments.
  4. Update the name as necessary.
  5. Press Save.

 

Once done, the original payment's name has been changed and the deposit is recreated. To re-enter the deposit under the new name, follow the steps below:

 

  1. Click the +New Plus icon. 
  2. Under Other select Bank Deposit.
  3. Select the Date and add all the payments that were on the original deposit, including the payment with the updated name.
  4. Press Save and Close.
