It's nice to see a new member here in the Community, @jlmenvironmental. I'll show you how to make a refund credit on QuickBooks Online.
When you record a refund using a check or expense, it reduces your bank's balance and cancels off the customer's open credit, overpayment, or prepayment.
First, let's record the refund to your customer.
Here's how:
Select + New.
Choose Expense or Check.
Select the customer from the Payee ▼ drop-down.
From the Payment account ▼ dropdown, select the bank account where you deposited the overpayment to.
On the first line of the Category column, select Accounts Receivable.
Enter the Amount field.
Fill out the other fields as you see fit, then select Save and Close.
Next, let's connect the refund to the credit or overpayment of the consumer.
Follow these steps below:
Select + New.
Select Receive payment.
When recording the refund, choose the same customer as when recording the check or expense.
Fill out the following details from the fields:
Select the checkbox next to the Expense or Check you made in recording the refund in the OutstandingTransactions section.
Make sure the payment matches the open balance, then click Save and Close.
