How do I change a bank transfer to a payment in QBO the transfer that was automatically brought in from the bank feed wont let me post it to the correct expense account.

Hi there, audie,

 

I can help you update your bank feed transaction in QuickBooks Online.

 

To get past this, you'll only need to Undo the accepted transaction so you can update it with the correct category. Let me walk you through the process:

  1. On your QuickBooks account, click the Banking menu.
  2. Go to the Banking tab.
  3. Choose the bank.
  4. Select IN QUICKBOOKS and locate the bank transfer.
  5. Click the transaction and hit Undo.
  6. Once done, go to the For Review tab.
  7. Locate and click the transaction.
  8. Click the Add radio button.
  9. Add the correct expense account.
  10. Click Add.

Did you mean to write ADD RADIO button in direction 8? I haven't tried this solution yet since I wasn't sure what that means. I payed someone via PayPal and now it is showing up as a transfer instead of a payment, so I too cannot categorize it properly.

For you to locate the options, you’ll have to click on the transfer transaction instead of placing a checkmark on it. From there, you’ll be able to see the Add or Find match radio button.

 

You can refer to the screenshot below:

 

 

Once done, you can match and categorize the transfer transaction in QuickBooks Online.

I have several transfers that should be expense.  The bank account has been reconciled.  Can I still UNDO without screwing up the works?

I'm here to help you undo your reconciled transactions, @florencefitzwater.

 

You can undo these transactions one at a time in QuickBooks Online. Let me show you how.

 

  1. Go to Accounting and select Chart of Accounts.
  2. Find the account and select View register
  3. Select the transaction.
  4. If the transaction is reconciled, you’ll see an “R.”
  5. Select the box and keep clicking it until the box is blank. 
  6. Select Save.

 

I'd recommend inviting your accountant. They have the Undo option for a reconciled period by using the QuickBooks Online Accountant version.

 

Here's how:

  1. Go to the Gear icon.
  2. Select Manage Users.
  3. Select the Accounting firms tab.
  4. Enter your accountant's email and click Invite.
  5. Let your accountant undo the entire reconciliation.

I need help!  I tried following the directions to undo the transfer, but I do not have the option to undo.  Maybe I am trying to do this on the wrong screen?

We’ll have to perform some basic troubleshooting steps to get the Undo option to show in your company. I'm here to help guide you through the process.


You can start by signing to QBO via the incognito mode or private window. This type of session doesn’t store any browsing history and runs a lot smoother.


Here’s how to bring up one:

 

  • Press Ctrl + Shift + N (Google Chrome).
  • Press Ctrl + Shift + P (Mozilla Firefox).
  • Press Ctrl + Shift + P (Internet Explorer).
  • Press Command + Shift + N (Safari).

From there, undo the transfer so you can categorize it. Here’s how:

 

  1. Click on the Banking menu on the left panel to choose Banking.
  2. From the list of accounts, select the one you’re working on to display the downloaded entries.
  3. In the Categorized section, hover your mouse to the transfer and click the Undo option to put it back to the For review section.
  4. In the For review section, click the Transfer to expand the line.
  5. Mark the radio-button for Categorize and fill in the appropriate fields.
  6. Press Add to keep the changes.

If you’re able to see the Undo button using private browsing, clear the cache of the regular browser. This process will remove any error messages or glitches you encounter in the system.
