Question

How do I fix my credit card balance on 2023 balance sheet after I matched wrong transactions between my bank account & credit card, reconciled & deleted the correct ones?

I reconciled the bank account monthly in 2023 (posting all cc payments to "transfer". I just received the 2023 credit card statements today 11/1/24. In reconciling the credit card monthly statement those payments showed up twice. Matched many of the wrong ones and deleted the correct ones and then reconciled. Now both accounts are reconciled but the cc balance is off on the balance sheet. I need to correct it. Can I make a journal entry to adjust that balance?

Thanks for telling us exactly what happened with the reconciliations in 2023, aharbison7845. I'd like to provide details to resolve the credit card balance in your financial report.

While you can technically create an adjusting entry to correct the discrepancy, it's generally our last recommendation. Even for minor discrepancies, we advise considering this option only after exploring other alternatives.

To make sure the balance is sorted out correctly, we suggest reversing the previous reconciliation, reinstating the deleted transactions, unmatching any incorrect entries, and then reconciling your credit card anew.

This process not only resolves the balance, but will also will help you avoid potential issues in the future.

You can start by unreconciling the previous months. Follow the steps in the Step 2: Unreconcile a transaction section of this article: Undo or remove transactions from reconciliations in QuickBooks Online.

Second, recreate the correct transactions that were deleted. Use this article as a guide: Use the audit log to re-enter deleted transactions in QuickBooks Online.

Next, unpair the duplicate transactions that were previously matched. You can find step-by-step instructions in the Unmatch a downloaded transaction section of this article: Unmatch downloaded bank transactions or move them to another account.

Don't forget to exclude the duplicate transactions so it's easier for you to select the correct ones in the next step. Proceed to the Step 2: Exclude a downloaded transaction section of this article for details on how to do this part: Exclude a bank transaction you downloaded into QuickBooks Online.

Then, go back to the For review tab to match the correct transactions. Let me share this article and use the steps in the Review and categorize downloaded transactions section: Categorize online bank transactions in QuickBooks Online.

Lastly, you can reconcile the credit card account one more time. Go straight to the Step 2: Start a reconciliation part of this article in case you need guidance on this: Reconcile an account in QuickBooks Online.

If the balance is still off after following these steps, you can find additional troubleshooting guidance in these articles:

Just in case you need more resources when reconciling accounts in the future, I'll share these articles with you:
