Question

How do I remove an inactive, duplicated account from my balance sheet?

Quickbooks desktop won't let me delete the account because it says it has a balance or it is used in at least one transaction, in an item, or in your payroll setup.  It has a huge balance and tons of transactions in it, about a years worth.  Somehow the bank feed was going into both accounts and I just noticed it, and added all the transactions, then wished I hadn't.  Is there a way to undo my "adding of all those transactions" all at once?  Thanks for any help you can give!

I'm here to provide you with more details on how to mark an account as inactive in QuickBooks Desktop (QBDT), Mkenison.

In QBDT, you cannot delete an account if there are transactions linked to it. Instead, you will need to transfer these transactions to the appropriate account. If you have QuickBooks Desktop Accountant, Enterprise, or Accountant Enterprise, you can utilize the Reclassify Transactions tool to facilitate this process.

Here's how:

  1. From the menu bar, navigate to Accountant, then hover over Client Data Review.
  2. Select Client Data Review and choose Modify the Review, then click OK.
  3. In the Review Date Range section, select the date range of the transactions you need to review.
  4. In the Review Basis section, decide between Accrual or Cash.
  5. Click on Modify Review.

To start reviewing your client’s transactions:

  1. Go to the Accountant menu and select Client Data Review.
  2. Choose Reclassify Transactions.
  3. Under the Accounts section, select the View dropdown and choose the account type.
  4. Select the relevant account to view its transactions on the right pane.
  5. In the Transactions section, select a name from the Name dropdown.
  6. From the Show transactions dropdown, choose the transactions you wish to review.

If you need to correct transactions, you can move them to their correct account or class. You can also reclassify by account and class at the same time.

  1. Select an individual transaction or Select All.
  2. To reclassify by account, check the Account to checkbox.
  3. Use the dropdown arrow next to Account to find the account to which you want to move the transactions.
  4. To reclassify by class, check the Class to checkbox.
  5. Use the dropdown arrow next to Class to select the new class for the transactions.
  6. Click Reclassify to finalize the changes.

Additionally, you can refer to this article to learn how to create, edit, and delete memorized reports in QuickBooks by visiting our article in QBDT.

By following these steps, you can efficiently manage and reclassify transactions, allowing you to mark an account as inactive in QBDT as required. If you have concerns about managing your transactions, don't hesitate to reach out. I'm here to help.
