How to change an Expense type to Bill Payment?

I paid a batch of invoices to a vendor and it shows as an expense when all the other ones I have done previously show as Bill Payment. It was the first time I did them as a batch, I usually did them all as separate transfer. Also, they seem to have doubled on the customers account.

Welcome to the Community. I'm here to help change the category of expense account to bill payment.


You can manually change the expense account of your bill payment in QuickBooks Online (QBO).

Here are the steps:

 

  1.  Open the expense transaction, and go to the Account details section.
  2.  Change the affected account in the ACCOUNT column to Accounts Payable (A/P).
  3.  Choose Save and close.
  4.  Open the bill, and tap the Make payment button.
  5.  Under the Outstanding Transactions section, mark the bill you want to pay.
  6.  Under the Credits section, mark the expense transaction. We'll use it as payment.
  7.  Make sure the AMOUNT PAID is equal to zero (0.00).
  8.  Hit Save and close.

 

Also, there are several reasons for duplicates. If the linked account you've mentioned is checking and your credit card are connected in QBO. The moment you transfer funds, both accounts will post the same set of transactions. You can match them in the bank feeds or you'll want to delete the duplicate under Chart of Accounts to get this fix. Let me show you how:

  1. On the left panel, hit the Accounting tab.
  2. Choose Chart of Accounts.
  3. Locate the account that creates duplicate transactions, then click the View register under the Action column to view the events.
  4. Tap each transaction and then select the Delete button.
