How to recover missing transactions

Let me help you with concerns in the QuickBooks Community, @odabya.

 

Before we start, can you help me verify if these missing transactions have been deleted in QuickBooks? If so, the option to recover them if unavailable in the program. 

 

Although, you use the Audit log to recover their details so you can re-enter them. Here's how:

 

  1. Go to Settings and select Audit Log.
  2. From the Filter ▼ drop-down menu, select the appropriate user, date, and event(s).
  3. Click Apply.
  4. Locate the deleted transaction.
  5. Under the History column, select View.
  6. All the information needed for the transaction can be found under the Event column.
  7. Using the information from the Audit log, you can re-enter the transaction with its original transaction date.

 

If the transactions aren't deleted, there might be an issue with your current browser that's causing this behavior.

To check, let's open your account in a private window. This mode doesn't save your search histories and would help us isolate the problem. Simply press the following shortcut keys to access it:

 

  •  Ctrl + Shift + N (Google Chrome).
  • Ctrl + Shift + P (Firefox).
  • Control + Option + P (Safari).

 

Once done, check again for the missing transactions. If you're able to see them again, go back to your regular browser and clear its cache. You can also use another supported browser as an alternative.

The transactions were not deleted there is just a gap of over a year missing. I just verified that my subscription to this service was paid every month where the missing transactions occurred and clearing cache or opening a private window does not bring them back. Can someone please help me figure this out. I’ve been trying to find a solution for 6 hours now.

I have missing transactions every month now.  Every month when I try to reconcile, transactions are missing from the reconciled months before making the beginning balances off.  Why are transactions missing every month from previously reconciled accounts???  Please help

Hello there, Carolexx.

 

You've mentioned reconciling and this feature isn't available in QuickBooks Self-Employed. This is only available in QuickBooks Online and Desktop.

 

Let me share information with your about reconciliation in QuickBooks and, make sure to resolve missing transactions. There are a few possible reasons why transactions are missing on your Reconcile page. Here are the following:

  • Some banks and credit card companies don't post transactions for download until later in the day or the next morning.
  • Some banks will show a transaction on their website but won't download the transaction until it posts.
  • If the missing transactions are the most recent ones, wait at least 24 hours in case your bank doesn't make them available immediately.
  • Transactions are showing up in the For Review page but were not categorized or matched.
  • Transactions were manually reconciled on the register.

 

If you're using QBO, you can fix this by updating your bank in QBO to download the latest data. 

 

Here's how:

 

  1. Go to Banking on the left navigation menu.
  2. On the Banking page, select Update.

 

If you see the missing transactions, let's make sure to review and categorize them, so it shows up On the Reconcile page.

 

For QuickBooks Desktop:

 

  1. Go to the Banking menu.
  2. Select Bank Feeds.
  3. Click the Bank Feeds Center.
  4. Choose your account and click the Refresh icon a couple of times.

Thank you for taking the time to try to resolve my problem.  I have been on the phone with agents so many times and none have a resolution, however, all your resolutions have to do with bank feeds.  I stopped using bank feeds two years ago as I find they create more problems then they resolve so the missing transactions are not due in any way to bank feeds but have something to do with American Express, the ability to "transfer" funds and QuickBooks database.  After trying many different resolutions and still having to put all the amex transactions back in from almost the beginning of the year, I tried putting them in as a check deposit instead of a transfer and that worked.  There is some glitch with American Express and the transfer process in quickbooks desktop.  As usual, Quickbooks is almost good but lacks knowledge of it's own database, reports are "just a tad" short of all the information you need unless you make up the report yourself and progressive invoicing is "not quite there" yet.  Perhaps a little effort by quickbooks to resolve some of their "shortages" instead of hiring agents without the expertise to help would be in order.  Thanks for trying though, it's appreciated.

I see I'm not the only one having these problems. I used the QB software, which I had purchased, for at least 10 years. It was working really smooth. Then I was forced to switch to the online subscription service. I didn't want to start paying, but the benefits looked attractive. Now this. And as for customer service and technical support? If your best suggestion is to download a spreadsheet from my bank and upload it to QB, then it's time to explore other software solutions. Unless, of course, QB manages to fix this issue which is obviously persistent and widespread.

I am also losing manually entered checks and deposits. Yes, have updated online banking accounts, run the audit,  and logged out then logged back in, cleared the browser cache. Hoping some user smarter than I has a solution to share. Please share if you know any solutions!

Staying on top of the account is very important in QuickBooks Online, @bargie231. I'm here to help you recover the missing transactions.

 

We'll have to first go through your account history to ensure everything is recorded completely. Here's how:

 

  1. Open the Bookkeeping menu and choose Chart of accounts.
  2. Find the bank account and hit View register.
  3. Locate the checks and deposits that you manually added. 
  4. Click on it to get more information.

 

That should give you a complete summary of the transactions.

 

After that, let's check the uncategorized area on your COA. When transactions aren't categorized, QuickBooks usually add them to the Uncategorized Income or Uncategorized Expense account. It's likely that the missing transactions are there.

 

  1. Open the Bookkeeping menu and choose Chart of accounts.
  2. Find the Uncategorized Income or Uncategorized Expense account.
  3. Click on Run report.
  4. Once the report is opened, search for the missing transactions.

 

If you ever see the data you want, you can unmatch the transactions and move them to the right account. If not, I recommend you import the transactions manually into QBO.
