Question

I accidentally charged a client a fee of $30 twice. I refunded the extra $30 & posted refund in QB, but the extra deposit is still showing as overdue, why?

Welcome to the QuickBooks Community, @whydoIneedauserid2. I'm here to ensure you'll be able to successfully record the customer's refund to clear their balance. 

 

When recording a refund in QuickBooks Online (QBO), you'll have first to create an expense or check for the extra $30 and assign it to the Accounts Receivable account. Once done, link this transaction to your customer's credit ($30) by using the receive payment feature. This process will clear the balance in their profile. Refer to the steps below.

 

Create an Expense or Check transaction to record the refund:

 

  1. In your QBO account, select the + New button and choose either ExpenseAdd expense, or Check. Before that, ensure that you're in the Accountant's view first
  2. Next, pick the customer's name you want to refund in the Payee dropdown.
  3. Then, select the bank account to which you deposited the overpayment in the Payment account field.
  4. After that, select Accounts Receivable on the first line of the Category column.
  5. Enter $30 in the Amount field and fill out the other fields as you see fit, then click Save and close.

 

Once finished, use the receive payment feature to clear the existing balance:

 

  1. Navigate to the + New button and choose Receive payment.
  2. Next, select the same customer you used for the check or expense when recording the refund.
  3. Then, fill out the other fields as you see fit.
  4. From the Outstanding Transaction section, check the box beside the Expense or Check transaction you created when recording the refund.
  5. Ensure that the payment is equal to the open balance, then click Save and close.

You might also want to monitor your income by generating sales reports. To do so, simply navigate to the Reports menu and scroll down to the Sales and customers section to open the report based on the info you need.
