Question

I am reconciling my books for 2023 and there is a balance in my Undeposited Funds account on the BS. Looks like QB never deposited the money for one of my clients. HELP!

I reviewed the sales receipts for the clients but there are no corresponding deposits for this client. They are billed monthly on a credit card and QB never paid me for it.

I appreciate your inquiry regarding the balance in your Undeposited funds account, and I'm here to resolve this matter, June.

 

If you're using QuickBooks Payments to process customer payments, you can review them by logging into your Merchant account and checking the deposits there.

 

Here's how:

 

  1. Log in to the Merchant Service Center.
  2. From the Activity & Reports menu, select Deposits.
  3. Select the Dates  dropdown menu to change the date needed. 
  4. If you want to, select the Show advanced options to do a specific search using the transaction ID and expiration date of the card.
  5. Click Search.

If you manually record your sales receipts in QuickBooks, there are two ways to handle them and clear the balance in the Undeposited Funds (UF) account. 

 

  1. You can match them to the corresponding deposits. QuickBooks will automatically clear the UF account and properly deposit the funds to your bank.
  2. Alternatively, create a Bank deposit in QuickBooks. This allows you to select the sales receipts and deposit them directly into the appropriate bank account. Doing so, will clear the UF account and ensure the funds are correctly deposited in your bank.

 

Once you have resolved the Undeposited Funds (UF) account balance, you can start reconciling the account to ensure that your financial records accurately reflect your bank activity.
