Question

I have 1 bank account but they have mistakenly been listed under 2 separate names, how do i merge them??

One account listed under two headings:

John Smith Co.
&
Checking

But they are the same and I need to merge!

Thanks for getting in touch with the Community, Luis Perez.
 

You can merge duplicate accounts from your Chart of accounts. You'll want to be aware of a few things before doing so:
 

  • Merging accounts is permanent and can't be undone later.
  • Only merge duplicates that were created in error.
  • Some accounts QuickBooks uses as default for certain features and ones connected to online banking can't be merged or deleted.
  • Before beginning, make sure you're in Accountant view.

 

To merge an account, you'll want to get all of the information you need for the account you want to keep.
 

Here's how:
 

  1. If you're merging accounts with reconciliation reports, save your reports first. The account being merged may not keep its reconciliation history. Your transactions will remain on the merged account and stay reconciled. If both account registers have an opening balance equity transaction, you'll need to delete your transaction with the most recent date prior to merging. Your older transaction becomes the opening balance of your newly merged account.
  2. In the left navigation bar, go to Transactions, then Chart of accounts.
  3. Locate your account you want to keep and use its Drop-Down Arrow (▼) icon, then click Edit.
  4. Take note of the Account Name, Account Type, and Detail Type. These must be identical between accounts you want to merge.
  5. Check if your account is a sub or parent account. The names of subaccounts are indented in your Name column of the Chart of accounts list. If it is, note your parent account it's linked with.

 

Once you have everything you'll need for the account you want to keep, you can handle your duplicate:
 

  1. From the Chart of accounts screen, find your duplicate account (the one you won't keep) and use its Drop-Down Arrow (▼) icon, then choose Edit.
  2. Change its Account name and Detail Type so your duplicate account's info matches the account you want to keep. If you need to make this a sub-account, keep in mind when merging two parent accounts, you'll need to make sure they don't have any sub-accounts. When merging two sub-accounts, confirm they both have an identical parent account. If only one of them is a sub-account, change its Account Type to exactly match the other parent account so it becomes a parent account.
  3. When you're finished, select Save, then Yes, merge accounts.

 

This will merge your two accounts into one. QuickBooks moves past transactions from the duplicate to your account you want to keep.
