Question

I have a business credt card with 4 users. How do I get all transactions to roll up the main card, so I can match/recon the account all as one?

If I add as a sub account, the transactions are duplicated for each user and the main card.

Hi there, @rccrislip.

Let me guide you through how sub-accounts work in QuickBooks Online, so you can navigate your finances with ease.

Before connecting to online banking, it's important to know how your bank sends the downloaded transactions. If the transactions download to a single account, you connect only the parent account. But if the transactions download to individual accounts, connect the sub-accounts instead of the parent account. Remember, you can't connect both a parent account and its sub-accounts at the same time.

In your case, I recommend excluding any duplicate transactions and ensuring you've set up your credit card properly. When it's time to reconcile, you only need to reconcile the parent account, since all transactions in the sub-accounts roll up into it.

For more information on setting up an account with multiple subaccounts, you can refer to this article: About bank or credit card subaccount setup.

After ensuring everything is set up correctly, reconcile your account to make sure it matches your credit card statements.

If you need anything else or have any other questions about setting up subaccounts in QuickBooks, feel free to leave a reply below. I'm more than happy to lend a helping hand.
