Question

I have cleared my bank transactions for june and july but never actually downloaded the statement and reconciled. How do I do this? Is there a way to change the date?

Hello there, @suzanne-eifler-g. I've got your back, and I'll ensure you can get those bank statements from the previous month so you can upload them to your QuickBooks Online (QBO) account and proceed to reconcile them.

Know that you can manually upload old bank statements to your QBO account. You'll want to go your bank or credit car's website to get those statements. I'll be pleased to input the steps below so you can proceed. To begin, here's how:

  1. Sign in to your bank or credit card's website.
  2. Follow your bank's instructions for how to download CSV files of your transactions to your computer. Please be aware that every financial institution has different steps. Here are steps for Bank of America, Chase, and Wells Fargo.
  3. Check the date range for the download. It should be at least one day before the date of your oldest transaction.
  4. Download your transactions. Save the file somewhere you can easily find it, like your computer's desktop.

Additionally, your bank may offer a few file formats. If possible, pick the QuickBooks Online data (QBO) format. These are formatted specifically for QBO. You can also upload transactions from a CSV or Quicken (QFX) file.

Once done, you'll want to open and review the file from your bank. Ensure that it's in the correct format before you upload it. Also, please know that the maximum file size is 350 KB. If the file is too big, you'll need to shorten the date range and download the transactions in smaller batches.

Refer to this page for more information about the format: Format CSV files in Excel to get bank transactions into QuickBooks.

Now that your file is ready, here's how you can upload them to your QBO account:

  1. Go to Bookkeeping then Transactions then select Bank transactions (Take me there), or go to Bank transactions (Take me there).
  2. Select the blue tile for the account you want to upload the transactions into.
  3. Select the Link account dropdown and then Upload from file.
  4. Select Drag and drop or select files. Then select Continue.
  5. In the QuickBooks account dropdown, select the account you want to upload the transactions into. Then select Continue.
  6. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks. Then select Continue.
  7. Select the transactions you would like to import. Then select Continue.
  8. Select Yes.
  9. When you accept your transactions, select Done.

If you see an error message, don't worry. Here's how to fix errors while uploading your transactions.

Additionally, I've got you this article to help you categorize and match your bank transactions in QBO: Categorize and match online bank transactions in QuickBooks Online.

I also recommend visiting this page to learn more about how to reconcile transactions that are older than your opening balance in QBO: Reconcile older transactions in QBO.
