Question

I just received a letter from the IRS that the past year my 941 deposits have not hot my account, but Quickbooks has withdrawn them from my account. Where are the funds?

Ironically I just received an email from QB Payroll below. Is there something going on?

"During each tax quarter we are mandated by the IRS to provide you with the following information regarding paying and filing your federal payroll taxes. While it is not necessary for you to enroll in the IRS tax payment and filing system (EFTPS), the following statement below from the IRS recommends that you do so:

Please be aware that you are responsible for the timely filing of employment tax returns and the timely payment of employment taxes for your employees, even if you have authorized a service provider to file the returns and make the payments.

Therefore, the Internal Revenue Service recommends that you enroll in the U.S. Treasury Department's Electronic Federal Tax Payment System (EFTPS) to monitor your account and ensure that timely tax payments are being made for you."

Welcome to the Community, @mdpacctingservic. I've got here some steps about what you need to do when you get a letter from the IRS.

When you received a notice from the IRS about the 941 form, you'll have to send it to us. To do so, you'll have to upload it via your QuickBooks Online (QBO) account. Before that, below are the things you need to do first:

  • On the first page of your tax notice, handwrite your Federal Employer Identification Number (EIN)
  • If you have more than one notice of discrepancy, send each one separately.

Once done, refer to the steps below to send it using the program:

  1. Navigate to the Taxes menu and select Payroll tax.
  2. Then, click Resources.
  3. Choose Tax Notice.
  4. Follow the on-screen instructions to upload the notice.

You'll receive a confirmation email with the case number and further details about it as soon as we get the notice. Once done, a tax specialist will send you an email with the necessary resolution.

For reference, please check this article: Send in your payroll tax notice. It also indicates the steps on how you can view the status of the notice in QBO.

Running payroll reports to have a summary of your employee data, business finances, and payroll details is a breeze in QBO. To get started, check out this article: Run payroll reports in QuickBooks Online Payroll.

Keep me posted on how this goes. You can always leave a reply below if you have additional questions about processing 941 forms in QBO. I'm just around the corner to lend a hand. Have a great day ahead and take care.
