I had labeled all my transactions and attached receipts several months ago for 2023, only to have my accountant say that nothing is appearing. I logged back in and unbeknownst, all the labels and receipts have disappeared from 2023 and everything reverted back to "Unreviewed."

Does anyone know why this happened? 🤦‍♀️ Or have a Quickbooks alternative they'd recommend for tracking small business expenses?

I can only think of a scenario why your transactions and attached receipts for 2023 reverted back to Unreviewed, Adrienne. I'll discuss its details and guide you on how to fix this so you can keep your financial data accurate.

In QuickBooks Self-Employed (QBSE), reviewed transactions will default as uncategorized once the bank account gets disconnected. If you reconnect, all the labeled ones will be recognized as new transactions and will show as Unreviewed. With this, I'd recommend recategorizing them to organize your income and expenses. Here's how to do it on a web browser:

  1. Go to the Transactions menu.
  2. Filter all Unreviewed transactions.
  3. Select Business for business transactions, or select Personal for personal. If they're both, select Split.
  4. Review the category in the Category column. If you need to change, select the category link. Choose a general type, and select a more detailed category.
  5. (Optional) Attach Receipt.
  6. Click Save. Repeat as necessary.

For other ways to review transactions in QBSE, please see this article: Categorize transactions in QuickBooks Self-Employed.

On the other hand, if your account wasn't disconnected, this matter is caused by an outdated cache stored in your browser. I'd recommend clearing the outdated ones (the hyperlinked article is for QuickBooks Online, but will also work for QBSE) to prevent potential viewing and performance issues with QBSE.

Furthermore, as your business grows, you can upgrade to QuickBooks Solopreneur or QuickBooks Online to help you track your expenses.

Additionally, you have the option to use rules to speed up the categorization process for recent and past transactions in QBSE. If you wish to know more about this, you can check out this article: Create rules to speed up reviews in QuickBooks Self-Employed.

Keep me posted if you require further assistance with managing self-employed transactions. I'll be around to guide you through. Keep safe!
