Question

I need to delete duplicate transactions. I discovered a duplicate of my checking account and made it "inactive," but am still seeing duplicates of all income transactions

I can no longer see the duplicate checking account on my chart of accounts, so I can't delete it. Thanks for any help.

I'm here to help you with deleting duplicate transactions in QuickBooks Online (QBO), @Sheila222.

 

If the income transactions isn't showing in your Chart of Accounts, we can simply locate them using the Search function. 

 

Here's how:

 

  1. Click the Magnifying Glass.
  2. Enter the date, amount, or transaction number you’re looking for, then select the desired transaction.
  3. If the transaction you're looking for does not appear on the results list, select Advanced Search.
  4. Adjust the filters to find the type of data you want. 
  5. Lastly, choose Add Filter.

 

 Once you find them, click the transaction then delete it. Let me show you how:

 

  1. Open the transaction.
  2. Go to the More tab, then select Delete.
  3. Hit Yes to confirm the action.
  4. Repeat the steps for other transactions.

 

Moving forward, make sure to categorize your transactions accordingly to avoid identical records. Then reconcile your accounts so they always match your bank and credit card statements.

Thanks. Unfortunately, the duplicates are deposits, and there doesn't seem to be an option for deleting them.

 

As I mentioned, somehow I found a duplicate of my checking account in Quickbooks (one shows up as "Checking" and one as "Checking - 2 (deleted)").  Even though I made it in active and it doesn't appear in my chart of accounts, all of these duplicate deposits keep appearing on any report I try to run.

Thanks for getting back and providing detailed information about your concern, @Sheila222. 

 

Once an account with a balance becomes inactive, the system creates a journal entry. Then, it moves the remaining balance to another account. Please know that your existing transactions don't disappear and stay on your financial reports. That's why it's still showing on your reports. Nevertheless, if you decide to use the account again, QuickBooks won't move the balance back or change the journal entry.
