I regularly pay an editing company to edit my photos and pay them via PayPal. The app isn't recognising the transaction is there a way to teach it

Thanks for posting here. Let me share some details about Paypal.

There are different ways on how to link your Paypal account to QuickBooks Online. 

1. Connect to Paypal app
2. Sync with PayPal app
3. PayPal Bank Feeds

Once connected, your Paypal transactions will be imported and will appear on the Banking page. From there, you can review and categorize them.

If you don't want to sync your Paypal account, you can still manually record the transactions. Here's the difference between bills, checks, and expenses.
