Resolving a situation where you couldn't delete data in the system would depend on several aspects, Thomas. I'm here to discuss them and lay out the fixes to help you get going.

To help us accurately address your issue, may I ask what type of transfer-out transaction you mistakenly initiated and how you entered it in QuickBooks? Any additional details would help us identify the cause of the problem and resolve it accurately.

In QuickBooks, we can remove data depending on how it is processed or tracked into the system. You'll mostly encounter some problems or warning notifications in doing so if:

  • If the transaction was already reconciled, you can still delete it, but you'll receive a warning message stating that the action could cause discrepancies in your reconciliation data.
  • The transaction that needs to be removed is dated within a closed accounting period. If this is the case, you'll need to enter the saved closing password to delete the transaction.
  • Your user access doesn't have permission to delete a transfer-out transaction.

Based on the factors above, we can sort this out by initiating the following fixes I've laid out below:

Solution 1: Check your account register to verify if the data you want to delete is a reconciled transaction. If it is, we'll need to undo the reconciliation manually and delete it afterward:

  1. Go to the Gear icon and then Chart of accounts.
  2. Enter the account used for the transfer in the Filter by name and number field.
  3. Click View register under the Action column.
  4. If the transaction has an R icon under the Checkmark column, click it. The column should be blank, with no C or R icons.
  5. Once done, click Save.
  6. After that, delete the data.

Solution 2: When a transaction resides within a closed period, enter the saved closing password to delete the transaction. With this, I suggest seeking assistance from an accounting professional. They can guide you in retaining accurate records in your books.

Solution 3: Confirm if you have access that allows you to delete the transaction by checking this link: User roles and access rights. Your company file permission could be the reason why you can't undo or remove the transfer in your records. If needed, you can coordinate with your company's primary admin to adjust your company accessibility.
