Hello Briankvarf,

I'm here to help import older data into your QuickBooks Online account.

We can bring your data to QuickBooks by going to the Import data button. To make sure your data imports correctly, import each spreadsheet in this order:

  1. Customers
  2. Vendors
  3. Products and services
  4. Invoices

Here's how to import the data:

  1. Click the Gear icon.
  2. Under TOOLS, select Import data.
  3. Select the type of data that you want to bring in.
  4. Continue with the on-screen instructions to import successfully.

Moreover, I've added this link for some frequently asked questions when importing data: Common questions about importing data to QuickBooks Online.

I'm always around if you have other concerns about bringing in your data.

Thanks so much for your help. But, I have already linked my bank account QB online and have catagorized the transactions. I need to integrate transactions that are older than the transactions linked to my bank account. For some reason the linked account will only go back as far as January of this year. I have downloaded the transaction before that date from my bank in a QBO file. Can I update my current file with the older transactions?

Certainly, @Briankvarf! Let me share insights about this.

Most banks allow downloading transactions to QBO past 90 days or up to a certain date in the past depending on your bank. Since you've saved the transactions prior to January in a file, we'll need to manually upload them. Let me give you some guidelines.

Before uploading the file, we need to avoid duplicates by going to the Chart of accounts and taking note of the date of the oldest transaction from the account you want to upload the transactions into.

After reviewing the file format of the transactions, we can proceed uploading them manually.

  1. Go to Transactions, then Bank transactions.
  2. Select the blue tile for the account you want to upload the file.
  3. Select the Link account dropdown.
  4. Select Upload from file.
  5. Select Drag and drop or select files and select the file you downloaded from your bank. Then select Continue.
  6. Follow the onscreen steps.
  7. Select the transactions you would like to import.
  8. When you accept your transactions, select Done.

If you have setup bank rules, QBO will automatically categorize the transactions. Let me add this article as your guide in case you need categorizing transactions manually: Categorize online bank transactions in QuickBooks Online.

Since your transactions will be ready after categorization, check out this article about reconciling your transactions to ensure your books are accurate: Reconcile transactions that are older than your opening balance in QuickBooks Online.

You're always welcome to visit the Community again if you have any other questions about QBO transactions. We're more than happy to help. Take care.

@Briankvarf

In what format do you have the historical data? QB Desktop files or did you use another program?

October 19, 2023

It's a qbo file

@Briankvarf

You can use MT Online or one of the converter tools (e.g csv2qbo @ $60 one time license) as a workaround.
