Import spreadsheet? We conduct sales on an offline computer spreadsheet, can we just import that as a sales invoice?

Hi there, @arkvalleyinfo.

 

You've come to the right place! I have all the instructions you'll need to get your invoices uploaded. This way, you won't need to enter them manually.

 

In QuickBooks Online, you can import multiple invoices in one go. First, you'll have to prepare your spreadsheets in .CSV format. You may create your own or download a sample file.

 

Here's how:

 

  1. Go to the Gear icon and select Import data
  2. Choose Invoices.
  3. Click Download sample CSV.

 

Then, before you upload, here are some key points to keep in mind:

 

  • If your invoices have multiple line items, ensure each line entry has an invoice number, customer, invoice date, and so on.
  • If your spreadsheet has new products, services, customers, and vendors, add them to QuickBooks before importing.
  • You can import 100 invoices with 1,000 rows limit per spreadsheet.
  • You can't add discounts, credit memos, or any negative amounts.

 

Once it's ready, follow these instructions to import your file:

 

  1. Go to the Gear icon and select Import data.
  2. Choose Invoices.
  3. You may mark the checkbox to add new customers that don't already exist in QuickBooks.
  4. Click Browse and then find and select the spreadsheet of your invoices. If you have new imported customers without setting its proper currency, QuickBooks assumes the currency is USD. If you have multicurrency turned on, you can import invoices in foreign currencies.
  5. Select Next.

 

Then, make sure your spreadsheet’s column headings match with QuickBooks fields. For the detailed steps, proceed to Step 3 in this article: Import multiple invoices at once.

Great, thank you.  Is there a way to then mark it as paid without having to create an independent sales receipt?
