Question

Inactive Bank Account

My client had a bank account that was compromised.  I added the new account, but (my fault) I had pending transactions to categorize and they are gone!  Even his bank doesn't have the old account information.  Help!  How do I find those missing transactions and get them into the correct bank?  Thanks so much in advance!

Good day and thanks for visiting the Community, ChrisCousins619.

When you disconnect a bank account connected to online banking, QuickBooks deletes transactions that still need to be categorized in the For review tab. You can read this article for more details: Disconnect or delete accounts connected to online banking.

The only way to get the transactions back is to download them from the bank. Since their bank doesn't have the old account's information, we can manually edit the transactions recorded in QuickBooks. Then, transfer them to the correct bank.

Do you still remember some of those transactions that cleared from the bank? If so, you can follow these steps:

  1. Go to Accounting Chart of Accounts.
  2. Select the View register link of the account where there transactions are posted.
  3. Click the edit button of each transaction and change the bank from the Payment account or Deposit to field.
  4. Hit Save and close.

Once done, go back to the Chart of Accounts page and open the correct bank. Manually clear each transaction, so you can reconcile them after.

Here's how:

  1. Click the transaction to see the options.
  2. Under the Reconcile status (indicated by a check mark) column, click the blank field until you see the letter C. This mean cleared and R stands for reconciled.
  3. Press Save.

Here's a sample screenshot for a visual reference:

After the steps, you can reconcile the account. This article includes the step by step process: Reconcile an account in QuickBooks Online.

Please let me know if you have any follow-up questions about the process. I'll be right here to answer them. Take care!
