Question

Is there a way to create a positive pay file in a format that the bank needs, so no manipulation of the csv file would need to be done?

Hello, @stomasko.

You can manually create or enter your bank transactions to QuickBooks  so you don't need to prepare an Excel CSV file for them.

You can record a transaction from the Plus (+) icon or in the register. To record a transaction from the Plus (+) icon, select what transaction you want to enter from the (+) New icon.

To enter a transaction from the register:

  1. Tap on Chart of Accounts from Accounting at the left pane.
  2. Look for your bank account from the result, then click on View Register under Action.
  3. From your bank register, click on the drop-down arrow at the left side so you can add the transaction you want.

I'm adding these articles as your reference when entering transactions in QuickBooks Online:

The file needs to be created in QB then sent to the bank.

Hey there, @stomasko

Thanks for reaching out to the Community. I hope your day is going great.

As of right now, there isn't a way that you can create a file within QuickBooks Online. The only option would be to export the data out to a CSV file and make adjustments to the CSV. You could then send your CSV file to the bank. Below I've included the steps for exporting your bank register.

1. Open the Accounting menu.

2. Choose Chart of Accounts

3. Pick the correct account and click View register

4. Select the export icon at the top, next to the print icon

5. Your file will automatically download.

That's all there is to it. Please let me know if there is anything that I could assist you with further. You can always reach out to the Community or me anytime you find you need help. Take care!

To create positive pay files using data from your QuickBooks Online company, use our BRC PositivePay file Creator - QB Online  app.  It supports well over 100 bank file formats and you can create your own custom file formats as well, both CSV ad TXT.

I had our IT guy download the Trial of BRC but I haven't been able to get it running.  Does that software pull the "name to print on checks" into the file to build the positive pay for the bank?

Yes, the BRC PositivePay file Creator - QB Desktop does pull the Print As name for the positive pay files it creates.
