I have a user that can't seem to remember not to use this feature. Is there a way to prevent it?

Let's take a look to check why this is happening and prevent this from happening again moving forward, PissedOffUser1.

This usually happens if you have set up bank rules and the system seems to auto-categorize your transactions. We can review them from the Banking page to disable or delete them from automatically categorizing your downloaded transactions in QuickBooks Online (QBO). To do so, follow the steps below:

  1. From the left menu, click on Banking.
  2. Go to the Rules tab.
  3. Look for the rule, then click the drop-down arrow beside Edit.
  4. Select Delete and Yes to confirm.

You can also deactivate the Enable suggested categorization feature by clicking the Banking page and ticking the Gear icon. Here's how:

  1. From the Banking menu, go to the For review tab.
  2. Tick the Gear icon.
  3. From the Transaction details section, uncheck Enable suggested categorization.
  4. Click the Gear icon again to save the setting.

In addition, QuickBooks lets you manage your user roles and limit their access to a specific task. You can set what your user can see and do within different areas in QuickBooks. To know more, check out this article for your reference: User Roles And Access Rights In QuickBooks Online.
