Matching auto payments with credit cards

We have multiple Amex and Chase cards. When downloading it's clear which account is being coded.  But when the monthly bank autopayments download they don't show the card # that the payment went to.  It just says Amex ACH or Chase ACH.  How do we match them up without having to go to the statements to look at the last months autopay due?

You'll be relieved to learn that you can use bank rules to help you categorize your bank transactions in QuickBooks Desktop (QBDT).

 

QBDT is dependent on the data provided by your bank. I recommend contacting them about why there is no card number displayed in your transactions when uploaded in QBDT. 

 

Meanwhile, you can make use of the bank rule feature. This way, you can easily identify the downloaded transactions by entering a specific description. Let me show you how.

 

  1. Go to the Banking menu. 
  2. Select Bank Feeds, then Bank Feeds Center.
  3. In the Bank Feeds window, select the Rules tab.
  4. From the Rules List window, click the Manage Rules drop-down menu then select Add New.
  5. Enter a Rule Name in the Add Rules Details window. 
  6. From the Description drop-down, make a selection and in the Description field, type a word or phrase you want to use as the condition for the rule. 
  7. In the Do This section, make the appropriate selection from the drop-down and depending on your selection, enter the Payee name or the Account name.
  8. Review the information and click Save when done.
