Question

My bank processed a payroll check for the incorrect amount. How do I reconcile the bank statement?

The bank corrected the error, but it was a few weeks later and therefore on a different bank statement.  How do I adjust the amounts without affecting my employee's paycheck history?

I've got steps to help you correct employee's payroll checks, rachel27.

 

In QuickBooks Online, if the incorrect amounts are showing on the banking page, we can exclude these entries and create a journal entry to ensure the correct amounts are entered accurately. This way, your banking records are matched and balanced.

 

Here's how to exclude the transaction from the banking page:

 

  1. Go to Bookkeeping from the left panel, select Transactions, then select Bank Transactions.
  2. Click on the For Review tab.
  3. Select the checkbox of the transactions to exclude.
  4. Select Exclude.

 

Then, to create a journal, here's how:

 

  1. Select + New.
  2. Select Journal entry.
  3. On the first line, select an account from the Account field. Depending on if you need to debit or credit the account, enter the amount in the correct column.
  4. On the next line, select the other account you're moving money to or from. Depending on if you entered a debit or credit on the first line, enter the same amount in the opposite column.
  5. Check the amounts - you should have the same amount in the Credit column on one line and the Debit column on the other. This means the accounts are in balance.
  6. Enter information in the memo section so you know why you made the journal entry.
  7. Select Save and new or Save and close.

 

Once done, you can mark the check transaction as Cleared (C) from the bank register. To do that:

 

  1. Go to Accounting on the left menu and select the Chart of Accounts tab.
  2. Look for the bank account and click View Register.
  3. From the check column, you'll need to mark the transaction as Cleared (C). Then, click Save.

 

Moreover, you'll want to review and fix issues for accounts you've reconciled in the past. It'll help you ensure all entries are matched so you can start reconciling your accounts.

Thanks for the insight.  The original check was for $1295 but the bank only processed it for $1205.  So am I understanding correctly that I need to do a journal entry for $90?  I'm not sure if that would be a debit or a credit?
