There was an error made in my Feb 23 payroll. We made the correct but not sure if it is okay to redo it in the new month of June 23 for closing or to revert to Feb 23 that is already closed?

Hi there, @VanessaW30.

I'm here to provide some info to help correct your payroll data in QuickBooks Desktop (QBDT).

The ability to edit paychecks may vary depending on whether you use a manual payroll method or if you process paychecks with direct deposit.

If you use a manual payroll, you can redo the paychecks even if your books are closed. Keep in mind that you'll need to perform a mini-reconciliation to adjust your data accurately.

Here's how to redo the paycheck:

  1. Go to the Banking menu and select Use Register.
  2. Select your bank account, then OK.
  3. Select and open the check in question.
  4. Click Paycheck Detail.
  5. Update the paycheck as needed.
  6. When you are ready select OK.
  7. Select Save & Close and click Yes to confirm.

If you're using a direct deposit and the paycheck was already processed and received by your employee, editing or deleting it will be unavailable.

If you've already sent payroll to QuickBooks, you can void the paycheck. But keep in mind that depending on your processing time, the debit from your bank account for payroll taxes and direct deposit may not be stopped. As a workaround, you can adjust the next paycheck and make an internal agreement with your employee regarding the process.

For the best course of action specific to your situation, it's a good idea to consult with your accountant. They can provide personalized guidance based on your unique circumstances.

Additionally, you can run payroll reports in QuickBooks Desktop to gain better insights into your business. Access the payroll reports section in the article provided and utilize the QuickBooks Desktop Payroll drop-down to open reports: Run payroll reports.
