Old Voided checks and/or transactions

I have a client that when I reconcile their bank statement, old voided checks show up starting back from 2016.  Obviously, I would not delete the most current years checks, but can I just delete the old ones so it doesn't clog up the bank rec report?

 

I also have some old checks that were never cashed and/or which I am currently investigating, but it is a long process that I inherited.  Any suggestions?

Hey there, grozaconsulting. 

 

Yes, you can delete the previously voided checks. However, I would recommend consulting with your accountant to help you review the transactions and ensure your record-keeping is accurate. 

 

Also, concerning your uncleared checks, we can leave those transactions as is. Transactions that are cleared and uncleared have no impact on your P&L because the report is accrual/cash-based. 
 

However, If the uncleared checks affect your outstanding balance, we can create a Journal entry that way, when you perform your next reconciliation, you can clear the old uncleared checks and the journal entry that offsets the checks for a zero net effect.
 

To create a Journal entry, Here's how to do it:

 

  1. Go to the + New button. 
  2. Select Journal entry
  3. Enter the information in the field to create a journal entry. (you would debit cash and credit the expense the check originally was an expense too). 
  4. Click Save and close.  

 

Before performing this, you'll need to consult your accountant first to ensure this option suits your company setup.
