Question

QB is showing an amount received in my bank account that is not on my bank statement. It is the exact amount that was deducted for a monthly mortgage payment. Why would that happen and how would I fix it.

I have an amount showing in my bank account in QB that is not on the bank statement.  It is showing that it was deposited to the account and is the exact amount of the the amount that was deducted from the account for the mortgage payment.  I spoke with the bank and they confirmed that the amount was never deposited into the account.

I believe that I can just exclude the transaction, but how do I find out why QB brought something in that was not on the bank statement.

Let's find out why your bank account is showing a transaction but not on your bank statement, kathie5.

It's possible, you might have accepted payments on the closing date of the bank statement and recorded them in your books. But if you deposited the checks later in the day, the transactions would not appear on the statement. Instead, it will appear on the next bank statement.

However, since the bank confirmed that deposits were not made, excluding the transaction is one of the best ways to correct your books. At the same time, use the audit log to track if there are other users who made the changes. To access, you'll have to make sure to access as an admin. Here's how:

  1. Go to Settings ⚙ and select Audit Log.
  2. Select Filter.
  3. Use the fields on the Filter panel to choose the appropriate UserDate, or Events filter to narrow the results.
  4. Select Apply.

You may see something called an indirect edit. To learn more about the feature, check out this article for more information: Use TheAudit Log In QuickBooks Online.

Furthermore, learn how to match and add transactions in QuickBooks. Go through this article for your future reference: Categorize And Match Online Bank Transactions In QuickBooks Online.
