QBO - deposits

I just started using QBO, which is linked to our bank. I manually receive payments from customers by going into each invoice. My question is, after receiving all the payments (totaling the deposit amount) do I "Add" or "Exclude" the deposit on the banking page? Will the transaction duplicate if I add it?

Thank you for visiting the QuickBooks Community. Let me discuss how entries work in QuickBooks Online. Then, to ensure you'll be able to categorize or manage your deposit transactions in the program.

 

When you linked your bank to QuickBooks Online, the program automatically matches your transactions once it detects entries with similar amounts and details. 

 

Since you manually received payments and made them deposited, I recommend matching them on the banking page. Adding the deposits causes duplicate entries in QuickBooks and excluding them removes the transactions from the program. 

 

Here's how to match:

 

 

  1. Go to the For review section on the Banking page.
  2. Find a downloaded transaction with the Match option in the Action column.
  3. Note the DateDescriptionPayee, and amount spent or received.
  4. Select the downloaded transaction to expand the view.
  5. Review the Matching records found in QuickBooks. This is the possible matching transaction you already entered in QuickBooks.
  6. Select the link next to each match to get more details.
  7. If this is the correct match, close the open transaction.
  8. Click Match.
