Quickbook balance doesn't match my linked bank balance

QuickBooks balance relies on the opening balance and the transactions you input when you set up your account. When you create a new account in QuickBooks Online, you select a date to start tracking transactions and enter the actual balance of your real bank account on that date. See screenshot below:



Since your QuickBooks balance doesn’t match your actual bank balance, I recommend reviewing your bank register. This way, we can check if an opening balance was created.

Here's how to check:

1. Select the Transactions menu and head over to the Chart of accounts section.
2. Locate the account and click View register.
   
   
   
3. You will see "Opening Balance" under the Memo column along with the actual date.
   
   
   

If you haven't entered an opening balance, don't worry; You can create a journal entry to record it.

Here's how:

1. Click on + New.
2. Select Journal entry.
3. Enter a date that is before the oldest transaction in the account. This serves as your opening balance date.
4. In the first row of the Account column, open the dropdown menu and choose the account for which you want to enter the opening balance.
5. Add a note in the Description field to clarify the purpose of the journal entry.
6. In the second row of the Account column, select Opening Balance Equity from the dropdown.
7. Refer to your bank statements to input your actual account balance for the chosen date.
   
    Ensure you enter both a debit and a credit for accuracy:
   
   
   • For Asset (savings and checking) and expense accounts: Input the opening balance in the Debit column on the first row, followed by the same amount in the Credit column on the second row.
   • For Liability, equity, and income accounts: Enter the opening balance in the Credit column on the first row, then the same amount in the Debit column on the second row.
   • For Accounts Payable: In the first row, select the vendor you owe. If you want to increase the balance, enter the opening balance as a credit; to decrease it, enter it as a debit. Then, enter the same amount in the opposite column on the second row.
   • For Accounts Receivable: In the first row, select the customers who owe you money. To increase the balance, enter the opening balance as a debit; to decrease it, enter it as a credit. Then, enter the same amount in the opposite column on the second row.
      
8. Once everything is complete, click on Save and close.
