Quickbooks Mac 2022-2024 Bank Download, Payee and Account, Autofills/Pulls from WRONG LISTS

Since 2022 to the current 2024 version, after downloading from a bank or credit card, when you go to enter a Payee, as you enter the first few letters, QB (pulls from the chart of accounts or the customer list) and inserts a GL Account or customer name instead of a Vendor Name. For example, if I was wanting to enter "Starbucks" as soon as the "S" is entered, an account that starts with "S" such as "SBA Loan" will completely autofill the line making it impossible to quickly code items. I've tried to find work arounds by copying and pasting because the few posts here that have addressed this do not resolve the issue, One person said to go into the library and look for a certain type of file.....I had none of the files that they said caused the problem. The QB people that respond basically re-explain how to import a QBO file. As soon as I updated my 2021 file to 2024, the problem started....I have clients that have had the issue since 2022 was released. This really needs to be addressed with an update. 2021 worked perfectly, but now a huge functionality has been taken away with bad coding. Now I am keeping some client's files in 2021 if I don't absolutely need to convert to 2024 😕😕 What is so frustrating is that it will work properly for 5-10 transactions and then gets wonky and eventually crashes. Then the next time won't work at all.

The program just keeps getting more wacky, pulling from lists in places where it should not happen. Went to write a check and wanted to type "Auto" in the No. field and no joke, it was autofilling with "other names" that started with "A"....

I acknowledge your feedback and recognize that it's a challenging experience for you and your business, @MissyP.

Let me provide ways to fix this situation. Let's first address the autofill issue by checking the Preferences to see if the pre-fill option is enabled. If it is, here's how we can turn it off:

  1. Click the QuickBooks menu, then select Preferences
  2. Select Data Entry
  3. Turn the Quick Fill transactions option to Off.

If the feature is already disabled, let's perform additional troubleshooting steps to determine if it's a company file or program issue. You can open the sample company file or run the verify and rebuild data to determine if the problem lies with your company file. To ensure your company file is free from any data damage.

For program issues, you can run QuickBooks Tool Hub to fix common problems when opening or working in the program. Then, ensure your QuickBooks Desktop for Mac is updated to the latest release and restart your computer to clear temporary files.

If the issue persists, I suggest contacting our QuickBooks Desktop Support. They have the tools to pull up your account and submit a ticket for further investigation by going to the Help menu and select QuickBooks Help.

You can also use this link to reach them outside QuickBooks: Contact us.

Additionally, you can visit this article that contains some topics and discussions to help you complete some of your QuickBooks tasks: QuickBooks Help Article.

I'm always here to help with any other questions you have about the pre-fill feature. Stay safe.

This is way beyond turning off auto fill ( which is turned off) That does nothing. In fact, the longer I've worked today, the worse it is getting. I am in Mac Desktop 2024 and it is fully updated. The one that just cost me $649 per year. I just referenced that this has been an ongoing issue since 2022 and I can't believe it hasn't been fixed yet. Internally, the coding of the program, it is pulling from the WRONG LISTS. If I am entering a check and I am trying to enter the account, as I am typing an account the starts with "F", for example, it pulls up a customer name in the account field. If I want to do a bank reconciliation, it pulls from the customer list instead of the reconcilable accounts.

This is the bank rec pulling from the customer list when trying to type an account name in

This is a check pulling from the customer list when trying to type the account:

This is my sorted customer list, showing it is a customer.

This is a deposit showing that when you want to type a number, but there is a customer that starts with a number, it is still pulling  from the customer list.

Missy were you able to solve this problem? I am running into the exact same issue, as soon as I updated to the 2024 version on my Mac. It is extremely frustrating after paying almost $700 today when I was forced to upgrade to get my banking transactions to download. The old version was better. I’ve been searching for an answer for hours.

I am having the same issue. It just started -- which makes me think it's something that has gotten corrupted in my file rather than innate to the program. Has anyone been able to successfully fix this issue? It really makes using the program untenable!

No. And the answers from QB’s are usually useless. TBH, the last reply I received from them Irritated me so much, I’ve been ignoring notifications on this post until now. I see below there is process to delete PLIST files, which I tried to do previously and I couldn’t find any of said files. I will follow these instructions and try again, but it’s pretty ridiculous that THAT is what I have to do to get it to work when all of us who used 2021 know that it worked perfectly. I saw @IntuitBrooks was tagged. I’ve have seen their responses on other threads and they seem to actually get things done.
@IntuitBrooks please help!!!

to my fellow frustrated QB users (and staff):

I had this same issue (see above) and was able to fix it on my own following these steps. It DOES seem like a weakness / bug in the program, as so many of us have this issue -- so I still urge QB / Intuit to find out what is causing this corruption with the files and FIX the darn issue!

First, I verified and rebuilt the company file (here) as per @MichaelaS 's suggestion. This revealed that there was an issue with my company file, but did not fix the presenting problem we're having.

The advice above to use the "Quickbooks Tool Hub" is useless, since that tool only exists for Windows users nd not Mac. Instead, I followed the instructions here, which I've copied below for ease. Note since those instructions were posted in 2023, a few things have changed:

  • depending on what version of OSX you're running, you may have a different process to boot in safemode
  • The instructions he gives to find the System plist files are incorrect. Go to your MacHD, select Library / preferences. However, on my machine, there were no system plist files for intuit or quickbooks. [shrug]
  • I deleted the application, emptied trash, and reinstalled it in safe mode just to be safe.
  • (you can download QB for Mac here )

So far, this has fixed the problem. I will reboot in normal mode. If the problem recurs at some point, I'll return and post back on this thread. And if it does then it's DEFINITELY some weird weakness / issue in the software itself that needs to be fixed as this process is totally untenable as a regular fix!

QuickBook Tool Hub isn't available on MAC. But, let me show you what we can do to fix this.

Here's how:

  1. We'll need to restart your Mac.
  2. After that, download the latest version for Mac by clicking Help at the top right corner, then click Update QuickBooks.
  3. Perform the Verify and Rebuild Utility.
  4. Boot your Mac in Safe Mode. This is to shut down your Mac desktop, then press the power button of the Mac. And as you hear the startup sounds, quick;y long-press the "shift" key from the keyboard.
  5. Once the Apple logo appears on the screen, remove your finger from the shift key.

Once done, remove PLIST Files from both the User and System. This will ensure that all data are free from any kind of errors. You can follow the steps below on how to perform this:

Delete User PLIST files

  1. Navigate to the “Finder” menu situated at the top left corner of the Mac desktop.
  2. Select the “Go” option followed by long pressing the “Options” button on your keyboard.
  3. Select the “Library” option, and then choose the “Preferences” folder.
  4. Look for “PLIST files” present next to the QuickBooks name.
  5. Once found, move the files to the trash bin, and clear the trash folder as well.

Delete System PLIST Files

  1. Navigate to the “Finder” menu situated at the top left corner of the Mac desktop.
  2. Tap on the “Macintosh HD” option.
  3. Select the “Go” option followed by long pressing the “Options” button on your keyboard.
  4. Select the “Library” option, and then choose the “Preferences” folder.
  5. Look for “PLIST files” present next to the QuickBooks name.
  6. Once found, move the files to the trash bin, and clear the trash folder as well.

That’s it! Restart Quickbooks ...
