Reclassify or move multiple transactions at once

Hey QB community!

 

I have been finally taking over my quickbooks online to better understand my budget.

 

On my profit and loss statements there are transactions that need to be reclassified.  I have figured out how to go back into banking and do this one by one, but I know there has to be a way to bulk reclassify.

 

I have seen with accountant tools you can,  I cannot seem to find these accountant tools and I am not certain

You're in the right place, @bsbrister!

 

Yes, we're able to reclassify transactions in batch with QuickBooks Online Accountant. All you need to do is use the Reclassify transactions feature from the Accountant Tools. I'm here to share with you how.

 

  1. Open your client’s QuickBooks Online company, then go to the Accountant Tools (briefcase) icon and select Reclassify Transactions.
  2. From the Account types drop-down menu, select Profit and Loss to see income and expense accounts. Or select Balance Sheet to see your asset, liability, and equity accounts.
  3. From the Account list, select the account with the transactions you want to change.
  4. Use these filters:
    • Type: Filter by transaction type.
    • Class: Filter by transactions under a Class or no class. If it’s not available, turn on class tracking.
    • Customer/vendor: Filter for a specific customer or vendor.
    • Modify: Filter by transactions that you can modify.
  5. Click Find Transactions.
  6. Select the box for each transaction you want to change. Then pick Reclassify.
  7. Choose a new account to move the transactions to or a new class from the drop-downs.
  8. When you’re ready, select Apply.

This looks like a great resolution, although.  I am not sure how to access accountant. 

 

When I click login accountant it takes me to a dashboard that does not have accountant tools, no briefcase.

Thanks for getting back here, @bsbrister.

 

Allow me to chime in and share some info about this feature. Accountant tools are only available to users or accountants who use QuickBooks Online (QBO) Accountant. To access this, you can sign up for QuickBooks Online Accountant or have a client that'll invite you as there accountant.

 

Thus, if you're already using QuickBooks Online (QBO) Accountant and can't see the Accountant tools menu. You may open your account using a private browser. There are times that the browser is full of frequently-accessed page resources, thus causing websites, like QBO, to act weirdly. 

 

Here's how to use a private browser:

 

  • Google Chrome: Hold Ctrl + Shift + N 
  • Safari: Press Command + Shift + N
  • Microsoft Edge or Mozilla Firefox: Hit Ctrl + Shift + P 

 

Once signed in, please follow the steps provided by my colleague, Angelyn_T to reclassify transactions in batch. 

 

If this works, go back to your regular browser and clear the cache. This will refresh the background processes of your browser to prevent problems when accessing websites.

 

If you get the same result while using a private browser, I recommend switching to a different browser

I've been struggling with this myself. It's incredible that something so simple can't be accomplished by a regular user. I have hundreds of transactions that I wished I could just check and reclassify, but the only way for me to know which, is by looking at the Description field - WHICH IS NOT PRESENT IN THE EXPENSE TRANSACTIONS LIST where you could potentially do batch reclassifying. So I figured I would just do an ADVANCED SEARCH and look for my transactions (by Description), but once they all show up, THERE'S NO BATCH ACTION YOU CAN DO WITH IT (you can't even select them other than opening them one by one). It is immensely frustrating.

Hello:

I realize that this is an old thread. I was trying to do something similar to the OP. I have many entries that have variations of vendor names from downloading from bank feeds. It makes the P&L a complete mess. So I wanted a way to re-classify several transactions. 

Turns out, that it was MUCH simpler then that. At least for what I wanted to do, so I thought I would share. If you go to your Other Name list (or any list) you can rename the list items. If you use a name already in use, it offers to merge them!!!

Very excited to share this. No need to buy software, export, import and ask the accountant to do it. It is just what I needed. Hope it helps someone here.
