Hello! Our bank was having issues with Positive Pay and would returned checks to vendors for no apparent reason. One of those checks was cleared in last month's statement, but then Returned in my new statement. How do I fix this if the check was already reconciled?

    Hi there, briceidav.

I'll share a solution for fixing a returned check that was already reconciled in QuickBooks Online (QBO).

In QBO, you'll have the option to manually unreconciled certain checks. Then, you can create a refund or credit from a vendor to match your new statement. I recommend contacting your accountant while you're doing this to guarantee your books are correct.

These are the steps to manually unreconciled transactions:

    1. Go to the Accounting menu, then Chart of Accounts.
    2. Locate the account that has the reconciled check transaction.
    3. Select the View register.
    4. Find the check transaction. If the transaction is reconciled, you'll see an "R" in the checkmark column.
    5. Click the transaction to expand the view.
    6. In the checkmark column, select the box with the "R" until the box is blank. This removes the transaction from reconciliation.
    7. Once done, hit Save.

For more details about the process, check out this article: Undo or remove transactions from reconciliations in QuickBooks Online.

Also, you can review this resource to learn more about recording a refund from a vendor: Enter a refund from a vendor.
