Review and categorize transactions across all accounts

Is there a way to review and categorize transactions across all accounts at once?  We have about 30 subaccounts, many of have either none or just a few transactions each month.  I'd prefer to not have to click on each one separately every time I want to perform a review.  Is there any way to do this?

I can share some information on how you can speed up the review process in QuickBooks Online.

 

 Yes, there is a way. You can use bank rules in QuickBooks Online to automatically categorize transactions from your bank. Then, if you enable the auto-add function, transactions from the For Review will be automatically added to your books. I'll show you how.

 

  1. Go to the Banking or Transactions menu. 
  2. Select the Rules tab.
  3. Click New rule
  4. Enter your desired name in the What do you want to call this rule? field.
  5. From the Apply this to transactions that are dropdown, choose either Money in or Money out. Then select a bank account.
  6. From the In dropdown, Set a single rule with up to 5 conditionals. Set and include the following, then click + Add a condition.
  7. In the Conditions fields, specify whether the rule applies to DescriptionBank text, or Amount. Then select ContainsDoesn't contain, or Is exactly to decide how Quickbooks applies the rules.
  8. Select the Transaction typeCategoryTags, and the Payee to apply for the rule settings.
  9. You can turn on the Auto-add feature if you wish to automatically categorize and add the transaction into your books.
  10. Once done, hit Save.

Yes, I know about rules.  Rules are good.  Is there a way to view all transactions across all accounts that have been categorized, and easily recategorize if necessary?

I've got a way to view all your transactions by account in QuickBooks Online. However, you'll need to open each transaction to update its category when necessary. 

 

You can pull up the Transaction Detail by Account report. This report gives you detailed information per transaction and line item. Here's how:

 

  1. Go to the Reports menu.
  2. Use the Find report by name field to search for Transaction Detail by Account.
  3. Select the report to open it.
  4. You may click Customize to show specific accounts, customers or format the layouts of the report.
  5. Click Run report.
