Hi, cnsmithfarm.

When you connect your Square account to QuickBooks Online, your sales transactions will be automatically downloaded. Here's how:

  1. Go to Transactions, then select Bank transactions.
  2. Click Link Account.
  3. Enter the URL or name of your bank in the Search field, then choose the bank.
  4. Enter your Sign info in the Login and Password fields, then Continue
  5. Select the account you want to connect and the date to pull transactions from the dropdown. Then, Next.
  6. Add the account type on the Account type dropdown, then Next.
  7. Choose the account type that matches your chart of accounts in QuickBooks. If you don’t see the correct account type, select + Add new.

Once you connect your account, the sales data will be added. Make sure to review them to ensure everything is accurate.

  1. From Transactions, select Bank transactions.
  2. Select For review. Your Square transactions appear in the list.
  3. For each transaction, select an action, depending on the status:
  4. Add or Match: This transaction is ready to be added. If both QuickBooks and Square are connected to the same bank, you can match it to a transaction that's already in your books.
  5. Go to Reviewed to review transactions. Select the sales receipt or deposit under the Added/Matched column.

Regarding the Square records, I recommend checking the description of the deposit to determine why it shows negative and positive.
